Customer Service and Communication
- Attend to walk-in customers and internal company enquiries & issues (GBCR, GBE, GBL)
- Identify and respond to customers’ needs by providing technical advice
- Update customers when vehicles are ready for collection after ensuring all repairs are completed
- Provide customer quotations and follow up on service/repair progress
- Negotiate with customers on service/repair pricing
- Encourage external customers to take up contract packages
- Escalate pressing issues to Supervisors
- Represent the company professionally as a front-line employee
Administrative and Reporting Tasks
- Update daily reports
- Check stocks and inventory of parts needed for daily workshop service and repair
- At month-end, verify backdated invoices and inform Man Ling to prepare the accrual list
- Ensure work orders are accurate, and billing and purchase invoices are correctly entered & close work orders
- Prepare service reports for GBCR vehicles upon request
- Perform ad hoc duties as assigned by Supervisors
Billing and Financial Management
- Enter daily system data, process invoices (internal & external), and manage in-house contractor invoices
- Follow up with external customers on outstanding or overdue payments (credit/cash)
- Maintain records of in-house contractor supply costs monthly
Workshop Coordination and Oversight
- Follow up on the progress of vehicles in the workshop and update accordingly
- Coordinate with the workshop on urgent jobs
- Raise job orders to workshops & contractors
- Liaise with in-house contractors regarding vehicle service/maintenance and provide feedback to customers
- Prepare quotations and raise work orders as needed
Procurement and Negotiation
- Obtain quotations from in-house contractors and negotiate pricing
- Order office stationery and other supplies
- Draft contracts and verify pricing for all vehicles
- Collaborate with internal and external stakeholders including customers, contractors, and workshops
Requirements
- Singaporean only
- GCE O Level / NITEC / Diploma
- 1-3 years of relevant experience in the automotive industry or workshop preferred
- Bilingual in English and Chinese to liaise with Chinese-speaking stakeholders
- Good interpersonal skills, proactive, independent, positive attitude, team player, capable of communicating at all levels
- Proficient in MS Office (Word & Excel)
