Job Description

  • Provide secretarial support for management and staff

  • Perform general office administrative duties

  • Plan, organize, and schedule meetings in-office, off-site, and via videoconference

  • Coordinate travel arrangements for employees

  • Maintain filing systems, contact databases, employee lists, and inventory

  • Order and oversee office supplies

  • Maintain up-to-date employee leave records

  • Assist in bookkeeping, bank reconciliation, payments, and expense claims

  • Assist in billing, invoicing (AR), and issuing delivery orders

  • Data entry and updating quotations and invoices (AR and AP)

  • Prepare sales quotations, order confirmations, purchase orders, invoices, and other sales-related documents for customers

  • Coordinate overseas delivery/export for customers, ensuring timely payment, preparing invoices, and liaising with couriers or forwarders for cargo collection

  • Coordinate with sales team and customers regarding orders, shipping, delivery, stock availability, and related matters

  • Perform any other ad hoc duties as assigned by the company

Requirements

  • Diploma or Bachelor's degree in Business Administration/Management or equivalent

  • At least 2-3 years relevant experience

  • Experience in a multi-national company is an advantage

  • Ability to communicate with counterparts in Beijing is required
