Assistant Admin Executive – Front Desk (Early Intervention Programme for Infants and Children, EIPIC)

About EIPIC:

Fei Yue Community Services has been appointed by the Ministry of Social and Family Development (MSF) and the Early Childhood Development Agency (ECDA) to run the Early Intervention Programme for Infants and Children (EIPIC). Our programme is designed to serve children from birth to 6 years old who are at risk of developmental, intellectual, sensory, or physical learning needs.

Responsibilities:
  1. Manage front desk duties: receive visitors, handle calls/enquiries, and collect payments.
  2. Perform general administrative tasks: mailing, filing, organizing, and replenishing pantry, toiletries, and stationeries.
  3. Support onboarding processes for new hires.
  4. Liaise with contractors for maintenance and facilities issues.
  5. Assist in planning and supporting outings, events, and workshops.
  6. Raise PRs/POs and manage purchases.
  7. Support EIPIC case administration: data entry, case file management, and updating registers.
  8. Process GIRO/CDA forms and prepare attendance/timetables.
  9. Coordinate meeting and training room bookings and setup.
  10. Assist with fire drills, orientation, and other assigned tasks.
Requirements:
  1. 'A' Levels or Diploma holder, with at least 2 years of admin experience.
  2. Service-oriented, with good communication and interpersonal skills.
  3. Detail-oriented, organized, and conscientious.
  4. Proficient in Microsoft Office 365 and comfortable with IT systems.
  5. Able to work independently and manage multiple tasks.
  6. Pleasant disposition, team player, with a positive and proactive attitude.
