Main Responsibilities:
1. Resident Management & Community Engagement
- Facilitate resident onboarding, including check-in/check-out procedures and orientation
- Serve as the primary point of contact for resident inquiries, feedback, and grievances
- Plan, coordinate, and execute resident programs, social activities, and community-building initiatives
2. Facility Management
- Conduct routine inspections to ensure cleanliness, maintenance, and functionality of dormitory facilities (rooms, amenities, and common areas)
- Coordinate and schedule routine maintenance, repair works, and cleaning services
- Monitor facility conditions to ensure adherence to health, safety, and regulatory standards
3. Security and Safety
- Implement and enforce dormitory security protocols, including access control, visitor registration, and emergency procedures
- Respond to emergency and mitigate situations
- Identify safety hazards and work with the Dormitory Manager on timely resolution
4. Administrative & Operational Support
- Maintain accurate records including resident data, incident reports, and maintenance logs
- Assist in room allocation and occupancy planning in collaboration with the Operations Support Executive
- Manage correspondence with residents and clients via email, phone, or other official channels
5. Conflict Management
- Mediate conflicts among residents and address behavioural issues in a fair, diplomatic, and solution-oriented manner
- Uphold dormitory rules and contribute to maintaining a respectful and harmonious living environment
6. Communication & Information Dissemination
- Ensure timely and effective communication with residents regarding updates, events, and policies
- Utilize platforms such as email, WhatsApp groups, and bulletin boards for information sharing
7. Compliance & Governance
- Ensure full compliance with internal policies, dormitory SOPs, and FEDA regulations
- Support audits and prepare documentation as required by regulatory bodies
8. Issue Resolution & Reporting
- Proactively manage operational issues such as maintenance emergencies or service disruptions
- Track and report on resident feedback, incident trends, and operational metrics to the Dormitory Manager
9. Data Management & Reporting
- Maintain updated databases on occupancy, maintenance schedules, and resident communications
- Prepare regular reports and insights for management review and decision-making
10. Other Duties
- Perform any other duties as assigned by the Dormitory Manager, Operations Manager, or Operations Director
Requirements:
- Degree or minimum Diploma in Facilities Management, Hospitality, Business Administration, or a related field
- Proficient in English (spoken and written)
- Willingness to work on rotating rotating shifts (including weekends and public holidays)
- Good computer literacy and proficient in Microsoft Office applications
- Strong communication skill, interpersonal, and conflict-resolution skills
- Strong organizational abilities with keen attention to details
- Ability to multi-task and thrive in a dynamic, fast-paced environment
- Certification in Mechanical & Electrical (M&E), Facility Management, or Fire Safety will be an advantage
