DESIGNATION : Assistant Manager, Operations and Security

RESPONSIBILITIES

You will oversee the daily operations and visitor-facing support functions at Singapore Art Museum (SAM), including site security, housekeeping, logistics, and event execution. As SAM's appointed Fire Safety Manager, you will play a key role in emergency preparedness, safety procedures, and operational compliance. Your leadership ensures that SAM remains a clean, safe, and welcoming space for visitors, staff, and artworks alike. These responsibilities apply to SAM's primary site at Tanjong Pagar Distripark (TPD), as well as any current or future locations where SAM may take over to host exhibitions or programmes. The role also requires close collaboration with other functions within SAM, such as the Visitor Experience, Curatorial, and Programming teams, to support seamless operational delivery and enhance the overall visitor journey.

Key Responsibilities

  • Daily Operations & Visitor Readiness
  • Oversee the day-to-day operations across the museum's public areas, ensuring cleanliness, accessibility, and a positive visitor experience.
  • Coordinate logistics for internal meetings, external visits, and museum events.
  • Manage and respond to ad hoc operational issues as they arise.
  • Security Management
  • Supervise the outsourced security team and ensure deployment meets contract requirements.
  • Ensure all officers are trained on SOPs, emergency response, and visitor service.
  • Conduct daily briefings, incident reviews, and maintain clocking reports.
  • Investigate and document security breaches, lost-and-found incidents, and maintain close coordination with neighbouring police posts.
  • Manage CCTV operations, carpark security (if applicable), and support improvements to physical security infrastructure.
  • Implement and review security policies, conduct risk assessments, and recommend preventive strategies.
  • Housekeeping
  • Supervise outsourced housekeeping team and ensure standards are met in all galleries, public areas, and back-of-house spaces.
  • Conduct regular inspections and respond to visitor or staff complaints.
  • Track housekeeping inventory and prepare reports for service quality review.
  • Ensure event-related cleaning needs are fulfilled before and after major programmes.
  • Event Operations
  • Lead on-the-ground operations for events, ensuring smooth execution and team readiness.
  • Coordinate setup and teardown with vendors and internal teams.
  • Oversee operational equipment (e.g. AV, staging, signage) for reliability and usage.
  • Provide manpower planning and assess logistics needs specific to events and exhibition changeovers.
  • Systems Oversight
  • Maintain operational readiness of the following systems: Card Access (programming new staff cards, monitoring system health) CCTV (positioning for changing layouts, incident review) PA System (maintenance scheduling, announcements)
  • Coordinate with technical vendors for preventive maintenance in collaboration with Estates.
  • Fire Safety & Emergency Preparedness
  • Serve as SAM's Fire Safety Manager; lead emergency drills and compliance checks.
  • Maintain and update fire safety documentation.
  • Respond to on-site emergencies and liaise with SCDF and internal crisis response teams.
  • Workplace Safety and Health (WSH)
  • Run WSH Committee meetings and ensure action items are followed up.
  • Maintain PPE stock, first-aid records, and safety equipment logs.
  • Conduct safety briefings for vendors and support WSH compliance at events.
  • Permit-to-Work (PTW) & Vendor Coordination
  • Oversee the PTW process for operational, event, and cleaning-related vendors.
  • Ensure safety documentation is submitted and cleared with the Estates team.
  • Conduct site briefings for working contractors and ensure adherence to worksite safety.


QUALIFICATIONS
  • Diploma or Degree in Facilities Management, Security Management, or related field.
  • Fire Safety Manager certification is required.
  • Bizsafe Level 4, Work-at-Height, or similar safety credentials are advantageous.
  • Minimum 3 to 5 years of experience in operations, preferably in museums, public attractions, or hospitality sectors.
  • Strong interpersonal skills with the ability to manage vendors and resolve on-site issues calmly and efficiently.
  • Able to work outside of office hours, including weekends or evenings, when events or operational issues arise.
