JOB BRIEF

We are an engineering consultancy firm looking for a detail-oriented Admin Officer to support our daily operations. This role primarily involves data entry, administrative tasks, and maintaining records with accuracy. The ideal candidate should be proficient in Excel and adaptable to changing work scopes as new tasks or initiatives introduced by management.


Our HR and accounting functions are outsourced, so the Admin Officer will primarily focus on operational and administrative support, including document management, coordinating with external service providers, and assisting with company initiatives.


In addition to general administrative responsibilities, the role includes managing the company’s LinkedIn page, organizing training programs in collaboration with academic institutions, and assisting with grant applications when needed.

JOB RESPONSIBILITIES

  • Maintain and manage project records and documents
  • Perform accurate data entry
  • Handle incoming and outgoing phone calls
  • Generating invoices
  • Process employee’s monthly claims
  • Provide administrative support, including printing and mailing documents
  • Oversee the maintenance of company equipment and IT-related matters
  • Assist with various administrative tasks as assigned
  • Adapt to evolving work requirements and ad-hoc duties

REQUIREMENTS

  • IT-savvy with proficiency in Microsoft Office, Outlook, and Excel
  • Excellent organizational and communication skills
  • Experience in managing company social media platforms (e.g., LinkedIn)
  • Able to work independently and as part of a team
  • Proactive in taking initiative and executing tasks
  • Able to adapt to new tasks or initiatives introduced by management

Additional Information
