Job Summary:

We are seeking a detail-oriented and organized Administrative Assistant to support our Import/Export Documentation processes. This role involves preparing, reviewing, and managing shipping documents to ensure compliance with international trade regulations and company standards. The ideal candidate will have prior experience in logistics or international shipping environments and possess strong administrative and communication skills.

Key Responsibilities:
  • Prepare, verify, and manage documentation required for international shipments (commercial invoices, packing lists, bills of lading, certificates of origin, etc.).
  • Coordinate with freight forwarders, customs brokers, and carriers to ensure timely and accurate shipment processing.
  • Maintain accurate records of import/export activities and update internal tracking systems.
  • Ensure all documentation complies with international trade laws, customs regulations, and company policies.
  • Support internal teams with data entry, filing, and other administrative tasks related to shipping and logistics.
  • Monitor shipment status and communicate updates or delays to relevant stakeholders.
  • Assist with resolving documentation discrepancies or customs issues.
  • Maintain confidentiality of sensitive information and handle documents with professionalism.
Qualifications:
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 1–3 years of experience in an administrative or logistics support role, preferably in import/export documentation.
  • Knowledge of international shipping regulations and customs documentation is an asset.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with ERP or logistics software is a plus.
  • Strong organizational and time-management skills.
  • Excellent communication skills, both written and verbal.
  • High attention to detail and accuracy.
Working Conditions:
  • Office-based role with frequent interaction with warehouse or logistics operations.
  • Standard business hours with occasional overtime during peak shipping periods.
