Job summary

A leading company is seeking an Administrative Officer to manage estate documents, coordinate with residents and vendors, and provide financial support. Responsibilities:

Administrative Duties
  • Maintain proper filing system for estate documents, correspondences, and reports.
  • Handle incoming calls, emails, and walk-in enquiries from residents, contractors, and suppliers.
  • Prepare circulars, notices, meeting agendas, and minutes.
  • Assist in drafting quotations, purchase orders, and work orders.

Resident & Visitor Management
  • Attend to residents' feedback, service requests, and complaints professionally.
  • Manage visitor registrations, facility bookings, and key handovers (e.g., access cards, carpark labels).
  • Track and follow up on feedback resolution.

Vendor & Contractor Coordination
  • Schedule appointments and supervise contractors performing estate works or repairs.
  • Verify service reports and delivery orders for vendor billing.
  • Assist in monitoring term contractors' attendance and compliance.

Financial & Procurement Support
  • Assist in procurement tasks such as sourcing, obtaining quotations, and preparing comparison sheets.
  • Handle petty cash claims and maintain expense records.
  • Support monthly billing preparation (e.g., utilities, season parking, bookings).

Meeting & Report Support
  • Assist in the preparation and coordination of AGMs, council meetings, and site inspections.
  • Compile defect reports, inspection checklists, and monthly estate reports.

General Estate Support
  • Perform regular site walks to identify cleanliness, maintenance, or safety issues.
  • Ensure all noticeboards and digital displays are updated with relevant information.
  • Support emergency or incident response coordination on site.

Requirements:
  • Minimum GCE 'O' Level in Business Admin or related field.
  • At least 1-2 years of experience in property management or administrative roles preferred.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Able to work independently and manage multiple tasks.
  • Familiar with MCST environment is an advantage.
