Job Summary
This position involves responsibilities across procurement, facility and administrative works, and adhoc tasks. The role requires coordination, management, and maintenance to ensure smooth operations.
1. Procurement
- Review specifications and relevant documentation.
- Coordinate with overseas suppliers on materials, including quantities and specifications.
- Monitor procurement activities to ensure timely delivery of materials and services.
- Update P&M Manager on shipment and delivery statuses.
- Assist the P&M Manager in project scheduling to align procurement with project timelines and cost management.
- Maintain organized documentation of procurement processes, contracts, and costs.
2. Facility and Administrative Works
- Inspect campus premises and ensure facilities are maintained per SOP.
- Perform asset tagging and conduct audits for centres.
- Submit grants to ECDA for new centre projects.
- Manage facility maintenance, repairs, and upkeep of equipment and fixtures.
- Maintain property contracts accurately and up-to-date.
- Source quotations and confirm renovation and maintenance works for assigned locations.
- Ensure proper documentation of property contracts and drawings.
- Assist in sourcing fixtures, fittings, and construction materials, including supplier negotiations.
- Process payments and invoices following company policies.
3. Adhoc Tasks
- Support the Head of Department and Consultants in setting up and streamlining systems, SOPs, and documentation.
- Improve document management, reporting, and claims processes.
- Monitor contractor performance, ensure compliance, and report metrics.
- Undertake additional duties or projects as assigned.
Minimum Qualifications
ITE or Polytechnic Diploma in Facilities Management, MEP/Construction, or related fields.
