Job description

Responsibilities:

  • Provide general administrative support to the Facilities Department

  • Assist in the compilation of monthly utility meter readings and liaise with the finance team for billing.

  • Assist with term vendors and/or contractors for accounts payable matters.

  • Assist with purchase order issuance and maintaining PO records

  • Assist with processing vendor’s invoices

  • Maintain proper documentation filing records in an orderly manner.

  • Maintain an updated list of CERT, fire wardens, term contractors, etc.

  • Maintain an updated list of Term Contractors contract and coordinate contract renewal

  • Assist with getting quotations for the site ad-hoc repair/replacement matters

  • Manage the car decal administration and issuing of car decal

  • Handle billing requisition for facilities work carried out that is recoverable from end-users.

  • Track expiry dates of relevant building licenses/permits and term contracts, flag out in advance to teammates for them to prepare for renewal.

  • Any other duties that may be assigned.

Job Requirements:

  • Preferably Diploma in Building/Property/Facilities Management or equivalent qualification.

  • Relevant experience in working in property/facilities management industry.

  • Proficient in Microsoft Office

  • Meticulous and well organized to ensure administrative accuracy.

  • Occasionally, attend site meetings when required.

  • Team player with good interpersonal, communication (verbal and written) skills and follow-up skills.

  • Able to commit for 6-month
