Job description

Role Overview

We are seeking a highly organized and proactive Operations Executive to oversee facility management across multiple clinics and support operational coordination at HQ. This role is crucial in ensuring clinic facilities run smoothly, coordinating maintenance and renovations, and handling operational support tasks.

The ideal candidate is detail-oriented, resourceful, and excels at multitasking and coordination. They should also have a positive attitude and professionalism when receiving instructions from senior leadership.

1. Facilities & Maintenance Management (HQ & Clinics)

  • Coordinate regular servicing and repairs for clinic machines, AEDs, air-conditioning, fire extinguishers, autoclaves, plinths, and payment terminals.
  • Oversee maintenance of clinic fixtures (e.g., carpets, doors, hinges, tables, drawers, walls, paint touch-ups).
  • Arrange for aircon extensions and upgrades when required.
  • Source quotations, obtain approvals, and manage payments to service providers.
  • Maintain records of service reports and quotations for all maintenance work.

2. Operations & General Coordination

  • Monitor and replenish pantry supplies at HQ
  • Ensure cleanliness and organization of pantry, boardroom, seminar room, and HQ premises.
  • Oversee clinic cash tracking collection when assigned.
  • Arrange company vehicle servicing and maintenance.
  • Assist in occasional sourcing accommodation for new overseas employee, including site visits.

3. Renovation & Expansion Support

  • Manage and oversee renovation and A&A (Addition & Alteration) projects at all locations.
  • Handle renovation approvals with MCST, source quotations, and manage payments.

4. Special Coordination Tasks

  • Maintain the community clinic roster and update the group as needed.

Job Requirements

  • Diploma in a related field with at least 2 years of relevant experience.
  • Strong coordination and administrative skills; ability to manage multiple stakeholders.
  • Meticulous and detail-oriented in documentation and scheduling.
  • Ability to travel to clinics when required.
  • 5.5-day work week.
  • Possession of a Class 3 (Auto) driving license is preferred.
