Key Responsibilities
Support the Operations Manager in leading the Academy operations team in various aspects of Academy operations such as facilities management, purchasing, inventory management, safety and security, retail fulfillment and logistics support for Academy activities, classes and events.
This includes but is not limited to:
Leadership:
- Support the Manager of Operations to lead larger operations team for Academy class setting up and closing, systems and SOPs and drive continuous improvement processes aligned with the organisational strategies outlined
- Deput-ise for the Operations Manager in their absence and at various meetings & events
- Support manpower and trainer deployment for classes, tasting bar and Academy events for best financial and operational outcomes
- Support the larger Bettr Academy in ensuring the team meets monthly targets, goals and objectives according to our strategic plan
Operational Duties:
- Work alongside all departments to ensure the smooth running of the day-to-day operations.
- Manage coffee service at Bettr Academy tasting bar and off-site Academy events to deliver an outstanding hospitality experience for students and guests
- Promote a culture of excellence in student and client care through a warm welcome, support customer service and admin work for a seamless experience as stipulated by the team and a desire to exceed expectations.
- Manage daily inventory for the Academy Operations including the purchasing from partners, suppliers and vendor
- Manage relationships with key stakeholders (both internal and external) to obtain synergy and long-term collaboration
- Ensure full compliance with operating procedures and regulations for health and safety of staff and visitors eg. implementation of security, health and safety procedures in line with BizSafe risk mitigation requirements
- Manage facilities and infrastructure including the maintenance and improvement works of the Academy premises, as well as working condition of all equipments
- Facilities Management of the Academy and Office including assist in day-to-day class and bar operations, periodic maintenance of coffee equipment, upholding the service and coffee quality served at Academy tasting bar
Secondary role: Train-the-Trainer (2 year Pathway)
- To conduct public SCA and WSQ coffee education classes and/or F&B classes (after alignment with Bettr's approach and curriculum), including corporate and public coffee appreciation workshops and lifestyle workshops
- Assist in training and coaching work in any social programmes (HT or BWT)
- Upon completion of relevant certifications:
- Conduct SCA and WSQ assessment in accordance to standards of the Academy and relevant governing bodies
- Take charge of curriculum for modules that are assigned and conduct periodic curriculum reviews with the Head Trainer / SME team
- Provide feedback to refine and further develop training programmes, both existing and new
- Provide support in all coffee-related activities within the organisation
- Any other special project or duties as assigned and discussed with you and your supervisor.
Experience Requirements:
- Minimum 2–3 years of relevant experience in F&B operations, administration, or project coordination, ideally within an education, training, or service-oriented environment.
- Proven ability to manage schedules, resources, and vendors to support seamless operational execution.
- Proficient in using Microsoft Office Suite, Google Workspace, and other common operations or learning management systems.
- Experience in process improvement, SOP documentation, or operations optimisation will be advantageous.
