An established industry player is seeking a proactive Administrative Assistant to support the Managing Director. This role involves organizing and maintaining both physical and digital filing systems, preparing essential reports and presentations, and managing the executive's calendar and travel arrangements. You will also handle general office administration, coordinate meetings, and liaise with clients and partners. Administrative & PA duties
- Organize and maintain company physical and digital filing systems and ensure confidentiality of sensitive information.
- Prepare reports, presentations, and other documents as requested.
- Handles general office administration tasks such as record keeping, correspondences and procurement of office supplies.
- Answer phone calls, take messages, and direct calls to appropriate personnel.
- Arrange and coordinate internal and external meetings.
- Take minutes during meetings and follow up on action points.
- Liaise with clients, partners, and staff on behalf of the Director (if required)
- Manage the executive’s calendar, schedule meetings, and coordinate appointments.
- Manage Managing Director’s travel arrangements including flights, accommodations, and itineraries.
- Any other admin duties & PA support as required by Managing Director.
