About the role

We are seeking a talented Admin cum Accounts Executive to join our team at I & C INTERNATIONAL PTE LTD in the Central Region. This full-time role will support our organisation's administrative and financial operations, playing a crucial part in ensuring the smooth running of our business.

What you'll be doing

ADMIN:

  • Record Keeping - Maintain accurate records of all bunkering activities, including fuel quantities, process, suppliers and delivery details.

  • Documentation - Ensure all necessary documentation is in place before and after bunker deliveries, including contract/confirmation/nomination, invoices and other relevant paperwork of Contra Statement of Accounts.

  • Management Report - Update daily stems / payment related to bunker activities report to management.

  • Invoice processing / Letter of Credit Application - Ensure timely payment of invoices to buyers / suppliers and surveyors based on agreed upon terms including follow-up on payment reminder email to buyers.

  • Provide full range of support to the Suppliers & Customers on all operational matters and shipping coordination till completion of shipment.

ACCOUNTS:

  • Handle month-end, and financial year-end closing, monthly balance sheet, P & L Fluctuation Analysis, Bank reconciliation, Monthly GST submission, etc.

  • Monthly expense variance analysis

  • Consolidate, reconcile and maintain general ledger accounts

  • Ensure accuracy of financial statements in compliance to internal policies

  • Manage Fixed Assets; Balance sheet accounts reconciliations

  • Assist with internal and external audit requirements.

  • Perform full spectrum of AR duties and AP support

  • Generate and process accounting reports (invoices, aging reports, etc.)

  • Other ad-hoc duties as assigned

What we're looking for

  • Diploma or equivalent with at least 3-5 years of experience in similar position (Accounting & Oil Bunkering)

  • Good knowledges in bunker operations and documentation as well the marine fuel standards, regulatory compliance and safety protocols.

  • Excellent organisational and time management skills

  • Full Set Accounting knowledge, GL accounting, and well versed in accounting and tax laws.

  • Knowledge of Letter of Credit, DP & TT preferred

  • Attention to detail and a commitment to accuracy

  • Team player and ability to work independently

  • Proficient in Microsoft Words, Excel, Outlook and database skills

  • Candidates with bunker background will have an added advantage
