Job description

On behalf of our client, we are looking for a highly organized and proactive Personal Assistant to the CEO. In this crucial role, you will provide comprehensive administrative support to CEO, ensuring that daily operations run smoothly and efficiently. Your responsibilities will encompass managing schedules, coordinating meetings, and handling confidential information with discretion. If you thrive in fast-paced environments and possess exceptional multitasking abilities, you can significantly impact our executive team and organization.

Key Responsibilities:

  • Maintain the CEO's calendar, scheduling appointments, and ensuring efficient time management.
  • Prepare and organize meeting materials, take minutes, and follow up on action items.
  • Handle correspondence, including emails and phone calls, with professionalism and confidentiality.
  • Coordinate travel arrangements including itineraries, accommodations, and transportation.
  • Assist in the preparation of reports, presentations, and other materials as required.
  • Conduct research and prepare briefing documents for meetings and events.
  • Support the CEO with special projects and initiatives as needed.
  • Act as a liaison between the CEO and other team members, clients, and stakeholders.

Requirements

Qualifications:

  • Proven experience as a Personal Assistant or similar administrative role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • High level of discretion and professionalism when handling confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Strong problem-solving skills and adaptability to changing priorities.
  • Experience in a fast-paced or startup environment is a plus.
