Job description

Our client is an international law firm and they are seeking an ambitious, motivated and experienced individual to ensure high quality operational support is provided to the Partners and Associates across the Singapore office (including secondees or visitors from other offices), enabling the smooth running of the operations.

This is an exciting hands-on role, and you will have the opportunity to be involved in a variety of different areas within the firm. Within this role you will be the key point of contact / liaison between the UK and the Singapore office and will build relationships with a range of key stakeholders.

DUTIES & RESPONSIBILITIES INCLUDE:

  • Delivers high quality Legal PA support for the Singapore office and acts as the key contact for the Head of Office, Partner and fee earner groups.
  • Work collaboratively with all Finance teams to proactively support fee earners' financial performance including client billing and reports, management of matter balances and working capital
  • Undertake all matter management processes, applying correct rates at opening, prompt preparation of engagement letters, matter specifications and liaising with the Business Acceptance Unit as required
  • Conflict check and Client Due Diligence processes, accurately completing the end to end Client Matter Inception (CMI) process whilst adhering to Firm-wide best practice protocols
  • Comprehensive diary management including forward planning, proactive travel and meeting arrangements, identifying meeting clashes and resolving independently where appropriate
  • Identifying and recommending cost efficient options for complex travel arrangements
  • Ensure all file management processes are undertaken correctly by identifying matters for closure, bills are paid, clearing client balance, WIP and archiving completed files
  • Ensure all meeting requirements are identified and actioned, including proactive preparation of meeting packs, itineraries, room and hospitality resource
  • Work closely with Business Development to support fee earners on organisation of events
  • Assist with all planning and logistics for hearings both locally, and internationally
  • Process expense claims on behalf of fee earners
  • Supports internal office events, working with the Business Services Finance Manager and Business Development team regarding budget allocation;
  • Delegate appropriate tasks to Document Production including pitch and tender documents, conversion and amendment of legal documents and transcripts
  • Promotes and nurtures an inclusive and diverse culture within the office, leading by example and upholding the firm's values at all times.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED

  • Experience gained in a comparable environment from a law firm at a senior PA level or a legal secretary with the required skills ready for the next move.
  • Highly organised and motivated with a 'can do' attitude and a willingness and enthusiasm to take on new challenges and develop own role.
  • Able to prioritise and thrive in a busy, fast-paced professional services environment meet the demands of the team.
  • Excellent verbal and written communication skills and able to quickly build strong working relationships
  • Strong influencing and negotiating skills.
  • Proactive, flexible and driven attitude.
  • Strong organisational and PA experience.
  • Strong technical skills across all Microsoft packages including Windows, Outlook, PowerPoint and Excel
