Job Description

Job Title: Operations, Administrative, and Facilities Manager

Reporting To: Operations Manager (OM) / Head of Operations (HOO)

Join a dynamic Operations Team and embark on a rewarding journey to oversee and enhance the management of foodcourts and coffeeshops. This role provides opportunities to develop expertise in operations management, administration, and facilities management.

Key Responsibilities

Operations Management Lead and guide Senior / Foodcourt Managers in achieving sales targets and ensuring the optimal performance of outlets.

Provide operational leadership by setting clear directions and adhering to company SOPs and workflows. Build and maintain effective relationships with landlords, government authorities (e.g., NEA, SFA), and stall tenants.

Manage inspections by relevant authorities and follow up on required actions.

Oversee lease agreements, renewals, and tenant negotiations to ensure seamless operations.

Proactively source and market food stalls to tenants, ensuring timely rental collection and full occupancy of stalls.

Monitor and enhance the financial and operational performance of designated outlets.

Collaborate with Business Development and Project Teams to identify, source, and develop new sites.

Prepare and manage outlet budgets, providing regular performance and financial analysis reports to senior management.

Maintain hygiene, quality, and service standards across outlets, providing feedback to stall tenants and internal teams. Conduct regular meetings to review operational performance and align team goals.

Administrative Management

Oversee staff performance reviews and provide recommendations for confirmation, promotion, and training. Address disciplinary issues, grievances, and disputes while fostering a positive work environment.

Ensure effective communication of company policies and procedures to team members and stall tenants. Maintain accountability for financial administration, including float money, petty cash, and sales collections.

Ensure timely submission of outlet and monthly reports, including financial and operational summaries.

Monitor and control expenses, ensuring alignment with budgets.

Facilities Management Coordinate with landlords on building matters, joint promotions, and events to enhance foot traffic.

Supervise and guide cleaning contractors to uphold high housekeeping standards.

Conduct regular inspections of outlet facilities to ensure adherence to safety and hygiene standards. Manage maintenance and engineering (M&E) schedules to ensure all works are completed on time.

Address non-compliance issues with tenants and contractors, taking appropriate corrective actions.

Other Responsibilities Propose and implement market-driven activities to enhance the business.

Take appropriate legal or collection actions for tenant-related financial disputes to minimize credit losses.

Provide continuous feedback and solutions to improve profitability and operational efficiency.

Perform any other assigned tasks as required.

Job Requirements

Strong leadership and interpersonal skills with the ability to manage diverse teams and stakeholders.

Excellent organizational and problem-solving capabilities. Knowledge of facilities management, operational workflows, and administrative processes. Proficient in budgeting, financial reporting, and cost control measures. Experience in F&B or retail management is a plus.
