Job description

Job Role Summary

  • Manage the end-to-end recruitment process across Singapore and Malaysia, from understanding hiring needs and candidate screening to conducting interviews and extending job offers for assigned departments.
  • Ensure smooth execution of onboarding and offboarding processes.
  • Take lead in Employee Engagement & Communication.

Area of Responsibility

Talent Acquisition (TA):

  • Partner with hiring managers to assess recruitment needs, establish selection criteria, and develop targeted strategies to fill positions within timeline.
  • Identify and leverage appropriate sourcing channels to attract candidates using a variety of methods.
  • Publish job posts, screen resumes, conduct interviews, perform reference checks and salary benchmarking for selected candidates.
  • Manage recruitment bottlenecks and implement solutions to improve the process.
  • Collaborate and maintain strong partnerships with recruitment agencies to ensure efficient and effective sourcing.
  • Prepare Letter of Appointment, obtain job offer approval, and manage the job offer process.
  • Maintain job descriptions and organization charts for assigned departments.
  • Promote the Company’s employer brand and ensure a positive candidate experience at every touchpoint.
  • Stay updated on salary trends to provide insights on current market pay.

Onboarding:

  • Arrange and follow up on candidate’s pre-employment medical examination.
  • Submit and manage the work pass application process for new employees.
  • Collaborate with hiring Managers and relevant departments to ensure the onboarding checklist is completed.
  • Provide onboarding information and conduct HR orientation session to facilitate a smooth integration into the Company culture and policies.
  • Collect new employee documentation, create personnel files, and follow up on records of compliance training for new employees, such as food safety and other required certifications.

Offboarding:

  • Facilitate departing employees on the exit clearance procedures, including the return of company property and deactivation of access in coordination with relevant departments.
  • Coordinate repatriation arrangements for PRC employees in a timely manner.
  • Submit work pass cancellation for departing employees.
  • Conduct and document exit interviews to gather valuable feedback and insights to improve the Company processes and enhance employee retention.

Employee Engagement and Communication Lead:

  • Plan annual engagement calendar, execute the programs and events that foster a positive “One Pokka” culture.
  • Manage internal communication efforts to ensure employees are aligned and engaged in the Company vision, mission and values.
  • Design and manage employee recognition programs.
  • Create and publish quarterly in-house newsletters.
  • Collaborate with HR team members to ensure the accurate and timely maintenance and updates of organization charts.

Others:

  • Provide HR advisory to employees and managers.
  • Ensure proper and accurate documentation of HR records.
  • Support and participate in HR budgeting, audits, contribute to improvement projects, events and initiatives, and represent HR in committees.

Education and Experience

  • Degree in Business Administration, preferably specializing in Human Resources.
  • Minimum 2 years of relevant HR experience.
  • Those who have relevant experience in FMCG or Manufacturing industry will be an added advantage.

Professional Qualifications

  • HR accredited courses/certification preferred.

Aptitude and Skills

  • Strong knowledge and understanding of Employment Act, Employment of Foreign Manpower Act, TAFEP guidelines and other relevant legislations.
  • Ability to handle confidential and sensitive information with integrity.
