Job summary

A leading engineering company in Singapore is seeking an Administrative Support Specialist to assist the Project Department. This role involves managing project documents, preparing reports, and liaising with internal teams to ensure project deadlines are met. Candidates should possess strong communication skills, be detail-oriented, and have a background in business administration or electrical engineering.

Qualifications

  • Minimum 2 to 3 years of working experience.
  • Must be proficient in both written and spoken English.
  • Bilingual in English and Mandarin.

Job description

Responsibilities

  • Provide general administrative support to Project Department
  • Responsible for administering and managing all incoming and outgoing project documents. Including issuing Purchase/works orders.
  • Support preparing documentation and reports
  • Preparation of O&M manual & Catalogue submission
  • Company document filling, correspondence handling
  • Experience in ISO, OHSAS, Compliance, document control/filling system
  • Provide administrative support to Project Manager.
  • Prepare Project Progress Reports.
  • Liaise with internal team member to ensure project progression meeting the target deadline.
  • Assist in project costing and process invoices to finance department.
  • Ensure database is up to date and accurate
  • Register, track and maintain records of all incoming/outgoing drawings, documents.
  • Manage and update documents under project master document list and generate updated document list.
  • Compile document submission and update progress/ status of all assigned projects regularly for management information/ review.
  • To assist Project Manager / Engineer in the arrangement/ compilation of documentation.
  • To assist Project Manager / Engineer in general project works as and when necessary.

Requirements:

  • GCE ‘O’ Level/Diploma in Business Administration / Electrical Engineering
  • Minimum 2 to 3 years of working experience
  • Computer skills – Microsoft office skill (Excel, Words. Power point and etc)
  • Must be proficient in both written and spoken English
  • Bilingual in English and Mandarin
  • Excellent communication and interpersonal skills
  • Analytical, meticulous, resourceful, result-driven, independent and responsible
