The Project Coordinator is responsible for assisting and coordinating on behalf of the Store Planning function, supporting the overall project management for retail and trade projects within South Asia Pacific.
Responsibilities
Project Administrative
- Work closely with VP – Store Planning SAPAC & Store Planning Managers to prepare project submission packs and track & follow-up internal project approvals.
- Support VP – Store Planning in building presentation materials (PowerPoint, spreadsheets, etc.).
- Assist SPMs with internal & external project reports.
- Maintain regional drawings & samples library.
- Provide weekly updates & reports on global project snapshot.
- Update store network deck monthly.
- Record meeting minutes for global & other recurring meetings and distribute promptly.
- Maintain Store Planning archives, including shared folders, documents, and store photos.
Project Payment & Close-Outs Monitoring
- Assist in cross-checking purchase orders/invoices in Unifier and follow up with Finance on payment status.
- Support project close-outs and ensure all documents are uploaded properly.
- Coordinate with internal and external stakeholders to ensure accurate and timely payments.
- Track and ensure vendor payments via COUPA/Unifier.
- Assist in vendor setup and training.
Business Travel Support
- Coordinate travel arrangements, including itineraries, flights, hotels, visas, and logistics.
- Organize meetings with visitors and third parties.
- Monitor and review travel budgets quarterly.
- Manage schedules for meetings and business trips.
Minor Works
- Support minor projects like cosmetic upgrades and small works.
- Track contractors and vendors to ensure compliance with standards and regulations.
- Follow up on project close-outs and document uploads.
Special Initiatives
- Assist in driving special projects involving cross-functional teams.
Qualifications
- 2-3 years’ experience, Architectural/Technical Certificate preferred.
- Experience in administration, budgeting, and business reporting (Coupa).
- Proficiency in MS Office suite.
- Exposure to global organizations is a plus.
- Additional skills in facilities, maintenance, store planning, architecture, or engineering are advantageous.
Preferred Skills
- Proficiency in Adobe Photoshop/Illustrator.
- Background in accounting.
