Job summary

A leading company in the engineering sector is seeking a Project Admin or Office Admin to provide essential administrative support. The role involves coordinating project documentation, liaising with contractors and clients, and ensuring smooth workflow. Candidates should have a diploma or degree in Business Administration and at least two years of relevant experience. Proficiency in Microsoft Office and the ability to communicate in Mandarin are essential. This position is open to Singapore Citizens or Permanent Residents.

Qualifications

  • Must communicate in Mandarin for liaising with associates.

  • Location: Location: Tampines or Woodlands

  • Working Hours: 5 days (8am to 5:30pm)

Job Description:

Project Admin

  • Provide administrative support to the office and assist with day-to-day operations

  • Assist in project documentation, reporting, and coordination

  • Liaise with contractors, suppliers, and clients to track project progress

  • Maintain records of contracts, permits, and project documentation

  • Schedule meetings, prepare minutes, and track project timelines

  • Support procurement, invoicing, and administrative tasks

  • Ensure smooth communication and workflow between project teams

  • Any other duties as assigned

OR

Office Admin

  • Provide administrative support to the office and assist with day-to-day operations

  • Manage dormitory room allocation, ensuring the list is updated in real-time

  • Assist various departments by scanning documents and maintaining both digital and physical filing systems

  • Handle the application process for dormitory internet service (prepaid for one year)

  • Coordinate the rental, termination, handover, and management of workers' dormitories, as well as the pre-entry housing registration

  • Coordinate project meetings, including scheduling, preparation of agendas, and taking meeting minutes

  • Support in administrative duties and ensure proper filing of project documentation

  • Assist in organizing project-related travel, accommodations, and logistics

  • Any other duties as assigned

Requirements:

  • Diploma or Degree in Business Administration

  • Minimum of 2 years of experience in administrative roles, preferably within the construction or related industries

  • Proficient in Microsoft word, excel and PowerPoint

  • Good team player

  • Must be able to communicate in Mandarin to be able to liaise with Mandarin speaking associates

  • This position is open to Singapore Citizens or Permanent Residents due to quota limitations.
