WHAT THE ROLE IS
SHE (SG Her Empowerment Ltd) is seeking a proactive and people-oriented Accounts and Administrative Executive to work directly with senior management to support the accounting, financial and administrative matters of the organisation. This role requires an organised and meticulous individual who is able to work Independently and responsively to the evolving needs of a small but impactful charity.
WHAT YOU WILL BE WORKING ON
Accounting:
- Coordinate with the outsourced accounting firm to provide invoices and supporting documents for payments, including vendor and staff claims.
- Coordinate with the outsourced accounting firm to furnish the necessary documents for tracking receipts, including donations and fund disbursements.
- Manage donations, record receipts, reconcile transactions, and maintain accurate donation records.
- Assist in audit related matters.
- Assist in grant related matters.
Administrative:
- Work directly with the CEO or equivalent on corporate support matters.
- Organise meetings, including board meetings.
- Assist in HR related matters.
- Administrator for HR system, ie to manage staff leave.
- Administrator for Staff Benefits Portal.
- Assist with company related procurement.
- File and maintain the company’s records.
- Assist in premise management, including maintenance arrangements and managing stationary/pantry supplies.
- Handle the company’s phone line, staff IT needs and email accounts, and other office related matters such as courier arrangements, and postal services etc.
- Liaise with the company’s outsourced service providers and third-party vendors.
- Perform any other tasks as may be assigned from time to time, related to the above or otherwise.
WHAT WE ARE LOOKING FOR
Experience:
- Min 3 years of accounting or administrative experience
- Min Diploma certification in any field
- Basic accounting knowledge preferred
Skills & Knowledge:
- Proficient in Microsoft Office tools (Excel, Word)
- Strong writing skills
Personal Competencies:
- Strong communication and interpersonal skills to work with multiple stakeholders
- Organised, meticulous and proactive
- Able to work independently, in a team, and across teams
- Able to think on your feet and adapt to new situations and requirements quickly
- Willing to experiment with new technology and productivity tools
