Job description

We are seeking a highly organised and proactive Executive Assistant to join our dynamic Department of Emergency Medicine. This role offers an excellent opportunity to provide comprehensive administrative support to the Head of Department and contribute to the smooth running of a fast-paced medical environment.

Key Responsibilities:

  • Provide high-level secretarial support to the Head of Department, including calendar management and appointment scheduling.

  • Coordinate medical staff postings and student attachments.

  • Manage department meetings, including scheduling, logistics and minute-taking.

  • Handle departmental budget and financial matters.

  • Maintain staff training records and coordinate professional development activities.

  • Organise department events, courses, conferences and activities.

  • Support medical staff orientation programmes.

  • Process clinical administrative requests.

  • Coordinate with various departments for document submissions and administrative matters.

  • Support hospital-wide initiatives including ISO, Business Continuity Planning, and Emergency Response activities.

  • Maintain accurate departmental records and documentation.

Requirements:

  • Diploma with 4 years' relevant experience OR Higher NITEC/NITEC/GCE N/O/A level with 10 years' experience and demonstrated competency.

  • Healthcare-related background preferred.

  • Strong administrative and organisational skills.

  • Excellent verbal and written communication skills.

  • Proven ability to multi-task in a fast-paced environment.

  • Ability to work both independently and collaboratively.

  • Strong commitment to maintaining confidentiality.

  • Proficient in Microsoft Office applications, especially Excel.

  • Positive attitude with high level of initiative.
