What the role is:
As a Knowledge & Resources Executive, you will play a vital role in supporting administrative operations and resource management to ensure the smooth functioning of the Building & Research Institute.
What you will be working on:
Working closely with various stakeholders, you will:
- Manage vendors and process procurement requests such as creating Purchase Orders through GEBIZ and the Financial & Procurement System (FPS).
- Support asset and keys management processes including creating asset numbers in FPS, coordinating asset tagging, and maintaining records of equipment maintenance and replacement schedules.
- Manage physical and electronic records, including creation, storage, retention, and disposal.
- Maintain digital resource platforms such as HDB’s photos repository to ensure accessibility of organisational assets and proper documentation.
- Handle day-to-day logistical matters including managing workstation arrangements, responding to meeting room booking requests, arranging refreshments for meetings, official visits, and events.
- Drive continuous improvement through digitalisation and streamlining of administrative workflows to enhance operational efficiency.
- Perform other duties and responsibilities as assigned by supervisors.
What we are looking for:
- Relevant experience in administrative services and records management.
- Strong organisational skills with attention to detail.
- Good interpersonal skills with the ability to communicate effectively with various stakeholders.
- Self-motivated individual who can work independently while being an effective team player.
- Working knowledge of government procurement processes and systems would be an advantage.
