Job Purpose
The appointee will oversee and coordinate the day-to-day transport services provided at the German European School Singapore (GESS). Reporting directly to the
Head of Operations, this position involves advising on matters related to transport services and serving as the first point of contact for parents and staff regarding transport-related queries and concerns.
Commencing: 1st August 2025 preferred
This position is full time and based on campus
Key Accountabilities
Transport Service Management:
- Oversee and manage the daily operations of the school transport service with the transport providers.
- Collaborate with contracted bus service providers to optimize routes that best meet the needs of the school community, leveraging the smart routing features of the school’s online transport management system as appropriate.
- Work to optimise the transportation students for the daily to and from school runs and excursions (including class trips, CCA, and sport) outside normal school hours.
- Responsibility for helping to ensure all passengers reach their destinations safely, the main objective is to ensure that all transportation of students is done in a safe and secure manner.
- Ensure bus providers adhere to and comply with all government rules and regulations regarding the transportation of passengers.
- Work closely with the Directors to address and support pastoral and discipline issues on the buses, maintaining records related to these matters.
- Conduct twice yearly Meetings with service providers and Head of Operations to address operational issues and improve transport services.
- With support of the online System, run regular reports on Utilization and optimal Routings and discuss them with the Head of Operations.
- Perform spot checks on buses, driver records, and other safety protocols to ensure safety and functionality.
- Update the online transport system to reflect last-minute changes and liaise with relevant school colleagues to ensure accurate student arrangements.
- Ensure Data is correctly submitted before each semester, liaise with the CCA and ENP Department for the 12:30 pm and 4:45 pm Bus dismissal.
- Ensure the proper usage of the online transport system by all drivers and bus attendants, give training where needed.
- Oversee Bus arrivals and the dismissals.
- Manage the LTA Forms.
Communication
- Respond promptly and professionally to all inquiries or concerns from parents, students, staff, and external organizations.
- Handle customer complaints and queries in a professional manner.
- Close collaboration with the Head of School Services regarding all Student late arrival or missed Busses.
- Have regular meetings with the Head of Operations to keep the management updated about all transportation related matters.
- Maintain and update transport-related information on the school websites and Parent Portal.
- Report any child safeguarding concerns to the Designated Safeguarding Lead.
Procurement And Resources
- Collaborate with the Head of Operations to prepare, evaluate, and present transport service tenders upon contract renewal.
- Check and verify all bus bookings before sending them to the finance team to ensure accuracy and completeness.
General Responsibilities
- Undertake other related duties as assigned by the Head of Operations to ensure the smooth functioning of the transport service unit.
- Work flexible hours as agreed with the Head of Operations.
- Maintain a professional standard of personal image and adhere to school policies.
- Demonstrate punctuality, positivity, diligence, and resourcefulness in carrying out duties.
Knowledge And Experience
- Experience coordinating transportation services (e.g., in a school, camp, or logistics company).
- Experience with scheduling software, spreadsheets, and transportation management tools.
- Proven ability to manage bus drivers, aides, and support staff.
- Recordkeeping for attendance, incident reports, and route logs.
- Awareness of local/state legal requirements related to school transport.
- Conflict resolution skills for handling issues between students, parents, or drivers.
Technical And Soft Skills
- School management systems ex: Roll Call Bus System
- Basic proficiency in Microsoft Office (Word, Excel, Outlook)
- Communication tools (email platforms, SMS alerts, or parent portals)
