The Opportunity:

We are seeking an Executive Assistant (Nursing Wards) to join our team. The successful candidate will coordinate office operations, maintain departmental forms and procedures, and assist with administrative tasks. The role may involve handling confidential information and managing documents with strict confidentiality. The candidate should align with NUHS core values, prioritize patient care, and collaborate with partners including families, volunteers, and organizations. Additional duties may be assigned as needed.

Job Responsibilities:

The incumbent will be responsible for:

PRIMARY RESPONSIBILITIES AND DUTIES – 80%
  • Providing clerical and administrative support, including maintaining staff records (e.g., vaccination records, emergency contacts, personal particulars, mask fitting records).
  • Answering phone calls, handling inquiries, and conveying messages.
  • Overseeing and distributing incoming and outgoing mails.
  • Organizing department meetings, reserving venues, and preparing AV equipment.
  • Preparing and updating staff orientation checklists, competencies, and personal particulars.
  • Updating training databases and records post-training.
  • Managing department inventory of stationery, assets, and equipment.
  • Raising IT access requests and preparing onboarding materials for new hires.
  • Handling purchase requisitions, including managing receipts and invoices.
  • Undertaking any other responsibilities assigned by the Reporting Officer.
SECONDARY RESPONSIBILITIES AND DUTIES – 20%
  • Participating in hospital-wide activities such as Service Quality Awards, Quality Month, Nurses’ Day Celebrations, etc.
  • Supporting department activities and events, including audits and celebrations.
Requirements
  • Minimum GCE 'A' level or Diploma qualification.
  • Proficient in PC software and applications, especially Microsoft Office.
  • Preferably 1 year of experience in healthcare or service industries.
  • Experience in hospital operations is advantageous.
  • Ability to work in a fast-paced environment.
  • Good communication and interpersonal skills.
