Administrative Assistants (Administration & Office Support)

This unique role entails the candidate to collaborate closely with the Finance Head & respective Centre Leaders ensuring a hassle-free centre-based administration. By extension, the role oversees & support all school admin staff & activities, act as advisor to the School Admin Executives and change agent to implement appropriate centre SOP, related policies in compliance with regulatory agencies eg. ECDA & MFS. 

As department head, the close supervision of school centre admin is an essential part of this role; switching between manager and mentor capacities, leading and motivating a progressive and diverse group of admin execs would offer the most challenging opportunities to the successful applicant.

Undertaking the mentorship role, you are to offer guidance and on the job training – to address and resolve centre admin challenges arising out of or in connection with school operations are expected of the candidate.

Mentor is expected to consciously and proactively motivate and inspire the team to accomplish established KPI’s, annual projects and plans; consistent with the work demands and geographic expansion of schools.

Beyond mentoring, teaming up with the Finance Manager; your active participation in the selection and hiring of Admin staff whilst facilitating their onboarding and on the job training before staff deployment to the school would be expected.

Often, this role may be acting as mediator and trouble shooter to resolve disputes and work issues between centre leader and centre admin; fostering a harmonious working relationship amongst team mates becomes mission critical.

You are also expected to collaborate with the Finance & Internal Audit Department to conduct timely audits in data compliance, student enrolment figures, withdrawal procedures, ECDA reporting etc. In ensuring that centre admins adhere to well defined SOPs for student enrolment, you are responsible to train and guide the admin team in all aspects of enrolment software modules, data collation and reporting format for each school. Given that the school is reliant on software supported by service providers; maintaining system updates and system efficiency at all times are necessary.

Where required, you are to report up on issues and suggest solutions regarding implementation of admin policies, procedures, legislative and other admin related matters to the finance manager. In ensuring that policies are practical and effective, you must be instrumental in developing and monitoring the administration processes and systems for all centre admins.

To consistently meet healthy enrolment numbers in all schools, you may from time to time plan and conduct regular outreach initiatives ie. roadshows/open houses to meet centres’ operating capacities. Meeting full centre operating capacities mandates a high acceptance rate in child admission. To consistently achieve this, every supervised admin exec under your leadership must conduct pre-enrolment visits frequently & effectively, practice close follow up and promote decisive sign on, perform close tracking of child withdrawal and urgently enroll new children on waitlists.

Another crucial component of this role relates to the effective management of parents and the school community requiring you to demonstrate knowledge of available community resources and connections.

You must be adept and comfortable in engaging and working collaboratively with various community agencies (eg. Family Service Centres, Social Services Offices or other agencies). A part of this engagement you may be required to manage regular referrals from government and social service agencies for child admission into our schools. In connection to this, coordinating relevant enrichment classes for low income children through name list identification and effective distribution of classes must be performed.

Whereas another part may require you to work collaboratively with agencies for holistic case management for designated families. To ensure such cases are managed effectively; identifying resources and support from other institutions/agencies, including making referrals for the support of the child/family would be a priority.

Lastly, in the course of case management, you are responsible for the full administration of funding budget for the low income and the needy.

Job requirements:

• Diploma/Degree in Social Work/Business Administration with extensive leadership in managing a department in a community or pre-school with understanding of working with families and young children. For Degree with social work, to be registered with Singapore Association of Social Workers (SASW), preferably a member.

• Meticulous and have good administrative and communication skills (Parent Engagement skills). Able to manage multi cases and tasks, good with numbers and use of spreadsheet.

• Good decision-making skills with good follow through with confidence

• Have system understanding on processes of an organization serving clients on a social perspective
