APAC ENGINEERING ADMINISTRATOR

REPORTS INTO: APAC ENGINEERING MANAGER

ABOUT THE ROLE:

The APAC Engineering Administrator will support the APAC Engineering team by providing professional administrative support to facilitate the delivery of building operations.

This includes activities in accounting, finance, maintenance, operations, vendor oversight, purchasing of materials, equipment and supplies, occupancy services, and helpdesk support. The goal is to ensure the smooth operation of our services while providing an exceptional end-user experience at our client sites.

KEY RESPONSIBILITIES:
  • Support the APAC Engineering Manager in managing the delivery of daily engineering services under Facilities Management contracts.
  • Ensure all work under the contracts meets client requirements.
  • Coordinate with local and APAC teams to ensure seamless service delivery.
  • Assist in preparing monthly management reports, including data collation and timely submission.
  • Maintain accurate reports and spreadsheets, including logs for quotes, purchase orders, invoices, site data, and costs.
  • Place orders for consumables as needed.
  • Keep a detailed log of supplier invoices, including supplier name, invoice number, date, and work description.
  • Ensure purchase orders are raised before work begins and maintain the purchase order tracker.
  • Liaise with engineers and suppliers to ensure all paperwork is complete before work starts.
  • Create and deliver Health and Safety Toolbox Talks and training sessions.
  • Provide monthly reports on trackers, audits, inspections, and health and safety metrics.
  • Use and maintain online task systems, ensuring accurate data entry and system administration.
  • Promote health and safety best practices among colleagues, contractors, and vendors.
WORKING LIFE:

ABOUT YOU:

  • You have experience in administration or coordination roles providing operational support.
  • You have experience managing finance-related tasks such as billing, supplier invoices, and reconciling purchase orders.
  • You possess good computer literacy, especially in producing reports.
  • You work collaboratively, demonstrating professionalism and a service-oriented approach.
  • You are skilled at multitasking and managing multiple projects effectively.
  • You have strong communication skills and are open to new ideas.
  • You are proficient in Word, Excel, Outlook, and interested in technology.
  • You keep abreast of industry trends and have an interest or experience in facilities management and customer service.
