Job description

Position Overview:

We are seeking two highly motivated and detail-oriented individuals to join our team as Admin and Finance Assistants (Grants). This position will primarily support the administrative and financial functions related to grant management within our organization.

Responsibilities:

1. Grant Administration:

  • Assist in the preparation, review, and submission of grant proposals, ensuring compliance with all requirements and deadlines.

  • Maintain accurate records of grant applications, awards, and reports.

  • Coordinate with relevant stakeholders to gather necessary documentation and information for grant submissions and reporting.

  • Monitor grant budgets, expenses, and provide regular financial reports to management.

  • Track and ensure timely submission of grant reports, including monitoring grant activities and outcomes.

2. Financial Management:

  • Assist with financial data entry, coding, and reconciliation of grant-related expenses.

  • Prepare and process grant-related invoices, reimbursements, and payments.

  • Collaborate with the finance team to ensure accurate recording and reporting of grant-related financial transactions.

  • Assist in the preparation of financial reports and statements related to grants as required.

3. Administrative Support:

  • Provide general administrative support to the grants team, including scheduling meetings, organizing files, and maintaining documentation.

  • Assist in preparing meeting agendas, taking minutes, and distributing relevant materials.

  • Assist in organizing and coordinating grant-related events, workshops, and conferences.

  • Respond to inquiries related to grants and provide necessary information to internal and external stakeholders.

Qualifications:

  • Previous experience in grant administration, finance, or similar roles is highly preferred.

  • Strong understanding of financial principles and budget management.

  • Proficient in using financial software and Microsoft Office Suite.

  • Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
