About the Job

This role reports to the Administrative & Operations Manager of the SUSS Counseling & Life Coaching Centre (C-three). This job involves both frontline and backend responsibilities to ensure the smooth running of counselling sessions and diverse programmes/events to improve the mental well-being and mental health of students. The incumbent will be involved in managing client appointment systems, administrative documentation, internal communications, expense reimbursement, procurement, and logistics support for programs, etc.

What You Will Be Doing

The successful candidate will provide administrative and office management support to the counselling centre.

Responsibilities

  • Report to the Admin & Operations Manager and perform general operations and administrative duties including documentation, internal communications, expense reimbursement, procurement, and logistics support.
  • Perform frontline duties for counselling and life coaching services, ensuring high standards of customer service.
  • Oversee, organize, and coordinate meetings and events organized by the centre, including gathering feedback and evaluation.
  • Organize corporate planning, inter-department collaborations, and project initiatives.
  • Assist in documenting and auditing system policies and procedures to ensure smooth operations.
  • Identify and resolve IT system-related issues, including client appointment booking systems.
  • Conduct daily/monthly operational checks to identify errors.
  • Perform business data analytics for reports and dashboards for management.
  • Assist in managing volunteer programs.
  • Act as liaison officer for student interns attached to the centre.
Job Requirements
  • General degree (Social Sciences preferred) with at least 5 years of relevant experience.
  • Experience in project management and data/business analytics.
  • Experience in customer service management, operations, or IT systems.
  • Mature, meticulous, with high discretion and integrity.
  • Effective interpersonal skills, proficient in spoken and written English.
  • Process-oriented with strong analytical and problem-solving skills.
  • Resourceful team player capable of working independently and taking initiative.
  • Proficient in Microsoft Office applications, with advanced Excel skills.
  • Experience in website administration, including designing pages, uploading content, and maintaining updates, is preferable.
  • Willing to work evenings.
