Job description

The Assistant Manager/Senior Assistant Manager will be part of the University-Wide Modules team under the Academic Programmes Administration Division. He/She will provide administrative support in the areas listed below.

Key Responsibilities:

  • Plan and manage the operations of university-level modules.

  • Manage module’s general email account.

  • Track the progress and completion rate of university-level modules.

  • Administer and coordinate timetabling / scheduling of classes, as well as assist in booking of facilities.

  • Advise students on matters such as module registration.

  • Organise and manage events such as talks, workshops and meetings.

  • Assist in collation and submission of results, and preparation of reports.

  • Administer procurement processes.

  • Provide administrative and secretariat support for meetings including minutes-writing.

  • Work closely with counterparts across all programmes.

  • Research and analyse various module performance indicators to support the roll-out and operational effectiveness of modules.

  • Review and improve work processes.

  • Other university-wide modules' support assignments as required by the Module Leads, Director of Programme, Programme Leader, or Director, Academic Programmes Administration.

Requirements:

  • A Degree from a recognised Institute of Higher Learning.

  • Preferably with experience in a similar position/education environment.

  • Meticulous with a keen eye for details and analytical in information gathering and resource support.

  • Proficient in Microsoft Office (Excel, Powerpoint, Word).

  • Familiarity with automation tools, Systems Thinking, Lean Transformation models and knowledge in Microsoft Power Apps and Power BI would be an advantage.

  • Good written and communication skills.

  • Able to work independently in a fast-paced and dynamic environment.

  • A highly motivated individual and a good team player.
