Job description

Overall Job Purpose:

This role supports the Corporate Sales team by ensuring smooth execution of event operations and efficient handling of administrative processes. The contract staff will play a key role in backend support functions, including data entry, internal coordination, document management, logistical arrangements, and general day-to-day administration to enhance the team's overall productivity.

The candidate will collaborate closely with various internal departments to provide timely assistance during event preparations and will also contribute to post-event documentation and internal reporting efforts.

Key Responsibilities

  • You will support event execution and team operations through the following tasks:

  • Perform daily administrative duties, including preparing purchase orders, processing invoices, monitoring the general mailbox, and maintaining records and filing systems.

  • Coordinate event logistics, such as preparing and placing event signage, and arranging courier services.

  • Manage event records by uploading photos to shared folders and updating internal event listings (e.g., SSRC, IDWG, ICOM).

  • Perform data entry of leads into Salesforce CRM to enable proper assignment within the team.

  • Handle administrative documentation, including raising Comp A forms, access rights requests, and internal folder creation.

  • Support internal meetings by taking minutes, distributing them promptly, and tracking follow-up actions.

  • Assist with venue booking logistics and track event details for internal reporting.

  • Carry out general clerical tasks, including record-keeping and compiling data for reports.

Job Requirements

  • Minimum ‘O’ level holders

  • Minimum 1 year of experience in administrative work

  • Ability to speak and understand English and another language

  • Familiar with Microsoft Excel, Words, Office

  • Able to commit to a 6-months’ contract

  • Able to commit 5 days per week from 9am – 6.30pm
