Job description

Job Duties:

Facilities Management
  1. Assist in office expansion/renovation projects by organizing kick-off meetings, coordinating resources, and assigning tasks to work teams.
  2. Ensure office expansion projects are completed on time, within budget, and meet quality standards.
  3. Collaborate with procurement to renew contracts and reduce costs effectively.
  4. Assist with post-renovation monitoring and quality control.
  5. Implement improvement plans, design layouts to meet user requirements, and facilitate better workflow and office ambiance.
  6. Serve as the focal point for operational tasks, including troubleshooting, coordinating, and supervising routine preventive and breakdown maintenance of facilities equipment, including third-party vendors for M&E works, fire protection, security systems, power shutdowns, after-hours support, and green initiatives.
  7. Assist with event coordination and campaign support.
  8. Monitor the ticketing system for maintenance requests.
  9. Organize office moves as required.
  10. Address employee feedback and service requests (e.g., stationery, locker resets, aircon feedback).
Administration
  1. Manage reception duties.
  2. Assist with documentation and implementation of office policies and standard operating procedures.
  3. Create, track, and update office asset lists, disposal, and maintenance schedules.
  4. Maintain and update shared office drives for easy information retrieval.
  5. Analyze ticket traffic to improve processes and reduce inefficiencies.
  6. Review vendor management, monitor expenditure, and streamline costs (e.g., mobile usage, pantry supplies, cleaning services).
  7. Recommend new procedures to ensure compliance with regulatory requirements and safety protocols (e.g., fire drills, first aid/CPR).
  8. Audit office security processes, including access control, and prepare reports.
  9. Support business continuity planning and act as backup for administrative functions.
  10. Process invoices (PR > GR).
  11. Prepare yearly departmental budget requests.
Job Requirements
  • Minimum of 3 years of relevant facilities administration experience.
