Job description

1. Distribution & Supplier Coordination

- Process and consolidate orders submitted via Excel, Google Sheets, or email

- Validate product SKUs, names, and quantities against official supplier catalogs

- Communicate with partners regarding clarifications, special requests, or amendments

- Submit and track purchase orders with suppliers across multiple product lines

- Create new product listings for upcoming releases on a fortnightly basis

- Update and distribute official product and order sheets every two weeks

2. Shipping & Logistics Coordination

- Arrange shipping and courier pickups with providers such as FedEx, partners' own freight forwarders, and

private-hire delivery services

- Prepare and track Air Waybills (AWBs), parcel photos, and packing documentation

- Coordinate consolidated shipping to optimize freight cost and efficiency

- Provide tracking updates and delivery ETAs to partners

- Assist with shipment issues such as damaged, missing, or delayed parcels

3. Inventory & Stock Flow Oversight

- Update internal inventory tracking sheets after receiving and dispatching goods

- Alert the team on low-stock SKUs and restock needs

- Cross-check goods received against supplier invoices to ensure accuracy

- Coordinate internal stock movement between storage and packing

4. Relationship Management

- Maintain strong communication with partners in Singapore and regional markets (e.g., Hong Kong, Indonesia, Taiwan, Malaysia, and China)

- Guide new partners through onboarding and product selection processes

- Provide suggestions tailored to each partner's needs and target audience

- Build and sustain long-term working relationships through consistent support

5. Documentation & Reporting

- Maintain organized records of invoices, AWBs, shipment photos, and communications

- Assist in generating reports on distribution status, inventory updates, and partner activity

- Support the Store Manager with documentation for internal reviews and supplier updates

6. Strategic & Creative Contributions (Optional Growth Scope)

- Propose bundle ideas or exclusive preorder campaigns

- Help compile feedback from partners for supplier meetings

- Contribute suggestions to improve operations and fulfillment workflows

7. WhatsApp Business Community Management

- Assist to Manage the store’s WhatsApp Business account and active game chat groups

- Engage different player communities (e.g., Star Wars Unlimited, Lorcana, Warhammer, Conquest) with regular updates, memes, spoilers, and discussion Hype upcoming events, organize mini campaigns, and guide new players through the game scene

- Follow up with group members on event RSVPs and gameplay queries

8. Event Planning & Player Activation

- Co-organize game nights, demo days, tournaments, launch events, and thematic parties

- Handle event RSVPs, reminders, and group nudges for attendance

- Help plan creative in-store activities like “Pack Rush,” “Paint & Play,” or “Lightspeed Showdowns”

- Prepare play materials, starter kits, or giveaway perks as needed

9. Social Media & Online Engagement

- Oversee BlitzMinis' Instagram and support content across platforms

- Ensure daily story updates and regular feed posts (new releases, memes, player shoutouts, gacha pulls, and more)

- Respond to comments and DMs in a timely and friendly tone

- Explore and help open new potential platforms such as TikTok or niche apps to support community expansion and drive sales

- Track content planning in sync with product releases, events, and preorders

10. In-Store Community Buzz

Support event days by helping players settle in, join games, or try demos

- Give out promos, snacks, or explain store perks to new visitors

- Keep the in-store energy welcoming and inclusive — especially during casual play or community markets

11. Community Growth & Outreach

- Recommend and reach out to hobby groups, school clubs, or new communities to join us

- Explore fun incentives like digital stamp cards, referral bonuses, or limited gacha promos

- Propose new programs or online campaigns to grow engagement
