Job summary

A Singapore-based company is seeking an Administrative Support professional to manage the Director's calendar, communicate with stakeholders, and coordinate travel and events. The ideal candidate will have strong communication skills, a class 3 driving license, and the ability to handle confidential information. This full-time position requires a commitment of Monday to Friday, 8:30 am – 6:00 pm, with transport provided from Jurong East MRT to the office.

Job Description & Requirements

1. Administrative Support

Manage the Director’s calendar: schedule meetings, appointments, and travel.

Organize and maintain files, records, and confidential documents.

Draft, format, and proofread emails, letters, and reports and contracts.

Prepare meeting agendas, minutes, and follow-up action items.

2. Communication Liaison

Act as the first point of contact for internal and external stakeholders.

Handle incoming calls, emails, and correspondence on behalf of the Director.

Coordinate communications between departments or external partners.

3. Travel & Event Management

Plan and coordinate business trips, including flights, accommodation, and itineraries.

Assist with organizing company events, meetings, conferences, or business lunches.

4. Project Coordination

Assist with or manage projects or tasks as delegated by the Director.

Track deadlines and ensure the Director is briefed and prepared.

5. Confidential & Personal Assistance

Handle sensitive and confidential information with discretion.

Support with personal errands

6. Office & Team Support

Coordinate with other departments to ensure smooth office operations.

Monitor and follow up on action items and deadlines related to company projects or goals.

Other tasks assigned by management.

7. Preferred criteria

Strong written and verbal communication skills for crafting compelling content and liaising with clients.

Abilities to travel overseas if opportunities arise

Class 3 Driving license.

Working hours

Monday – Friday: 8:30am – 6:00pm (Transport provided from Jurong East MRT to Office)
