Responsibilities
- Coordination and organization for air freight operations within Rhenus Logistics office in Singapore.
- Assisting customers with requirements in terms of booking shipments with airline
Airline Coordination / Local vendors coordination
- Identify the proper booking channels for booking shipments with Airlines
- To closely coordinate with the customer regarding any special requests from the customer
- To contact the Airline for booking shipments and making sure all customers’ requirements are met
- To ensure proper setting of milestones in the TMS
- To coordinate with Customers/ Sales in case of any delays
- Closely coordinate with local procurement team for any pricing issues
- To coordinate with local vendors in case of any irregularities or any issues being escalated to them
KPIs adherence in Operational System
- Constant monitoring while ensuring the proper setting of milestones/ status code under 100% Data Quality
- Meeting of timeframe KPIs for adding new contacts in operational system
- Ability to monitor the process of shipments in terms of ETA/ ETD
- Document creation in operational system, such as Accounts Receivable and Accounts Payable
- ‘In time’ job closing in operational system
- To make sure cost and sales accruals are entered while creating the job in the TMS
- Data entry in TMS ( Flight details, ETA,ETD, milestones, etc)
- To send EDI and Pre-Alerts on time to the destination.
Documentation Management
- Strict meeting of timeframe for manifest declaration according to different countries (USA, Canada, Japan)
- Avoiding of postponed shipments due to lack of documents
- Meeting of timeframe KPIs for documentation collection, completion, and submission
- Monitor payment to the Creditors and late payment received from Debtors without notification and clear
- reasons from Accounting Dept. Check and evaluate invoices in terms of correctness.
- Preparation of documentation and necessary paperwork for customs brokerage (e.g. packing list, commercial
- invoice, etc.)
Knowledge, Skills and Attributes
- Extensive knowledge of local and international freight services and customs policies
- Knowledge in Pricing and Procurement related topics
- Familiar with industry standard programs and able to operate standard systems relevant to the position
- High level of data analysis skills, customer service mindset
- Professional working attitude
- Highly motivated to learn new processes, receive feedback and work independently
- Minimal supervision to complete tasks
- Highly trainable and approachable
- Experience or training in Good Distribution Practice (GDP), and experience in life sciences, healthcare, or pharmaceuticals are an advantage.
