Job summary

Overview:

The Customer Service Officer is responsible for providing exceptional service to customers from inquiry to vehicle return, ensuring a seamless rental experience. This role involves assisting customers with reservations, vehicle pick-up and drop- off, addressing inquiries and complaints, and ensuring compliance with company policies and procedures.

Your Day-to-Day Adventures

  • Customer Assistance & Service Delivery

  • Assist customers in selecting appropriate vehicle options based on their needs, including providing detailed information about rental terms, rates, policies etc

  • Process rental reservations accurately using the company’s booking system, ensuring all necessary documents are completed and verified.

  • Guide customers through the vehicle pick-up and drop-off process, including vehicle inspection and documentation.

  • Escalate complex issues to supervisors or management when necessary.

  • Reservation & Documentation Management

  • Manage and update reservations efficiently in the booking system.

  • Collect and verify customer identification, driving licenses, and other required documents.

  • Ensure all rental agreements are signed and stored securely, including handling of modifications or cancellations of reservations as needed.

  • Vehicle Inspection & Preparation

  • Conduct or oversee vehicle inspections before and after rentals to note any damages or issues.

  • Ensure vehicles are clean, fueled, and in good condition before handing over to customers.

  • Report and document any vehicle damages or maintenance issues promptly.

  • Payment & Billing

  • Process rental payments accurately through designated payment channels.

  • Handle billing discrepancies or payment issues professionally.

  • Collaboration & Teamwork

  • Work closely with the fleet management team to coordinate vehicle availability and maintenance.

  • Collaborate with the sales team to convert inquiries into rentals and promote ongoing customer engagement.

  • Support team members in achieving branch or company rental targets

  • Basic computer literacy and familiarity with booking or reservation systems

  • Customer-focused attitude with problem-solving skills

  • Knowledge of local traffic laws and rental policies will be a bonus!

  • Previous experience in customer service

  • Class 3 Driving License with min of 2 years driving experience is a plus!

  • Able to work on a 5.5 day calendar workweek
