Job description

Job Purpose

The purpose of the Customer Service Officer is to assist the Indoor Sales Manager in handling activities from inquiry to order stage and to coordinate the supply chain within the company. The department acts as a link between sales and various supporting departments. The Customer Service Officer is responsible for generating and consolidating reports, escalating work-related issues to the Indoor Sales Manager, and proposing solutions.

Duties and Responsibilities

  1. Perform customer service duties.
  2. Attend to telephone and email sales inquiries for all product ranges at Tat Lee Engineering.
  3. Conduct basic desk research to support business development activities and circulate industry/product information.
  4. Process sales quotations and sales orders to ensure timely processing.
  5. Review contracts such as Sales Blanket Orders and Customer Purchase Orders.
  6. Follow up on the status of sales quotations and sales orders.
  7. Coordinate with the in-house operations team regarding manufacturing and delivery schedules.
  8. Respond to customer complaints and provide after-sales support when requested.
  9. Maintain office files and records.
  10. Assist the Finance department in following up on customer payments.
  11. Discuss and negotiate with clients or account managers to achieve mutually beneficial outcomes for the company and clients.
  12. Provide guidance and support to customer service staff in handling client complaints and problem-solving.
  13. Generate and consolidate reports.
  14. Assist the Indoor Sales Manager with key account management and inquiry assignments to customer service.

Qualifications/Requirements

  • Minimum GCE ‘O’ Level or Diploma in Logistics Management, Supply Chain Management, or equivalent.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Knowledge of SAP is an advantage.
  • Ability to work in a fast-paced environment.
  • Good communication and business writing skills.
  • Service-oriented attitude.
