Job Overview:

Kaleidoscope Therapy Centre is seeking a warm, organized, and detail-oriented Customer Service Administrator to join our team. As the first point of contact for clients and families, you will play a vital role in creating a welcoming environment while supporting the clinic’s daily administrative operations. Your responsibilities will include managing scheduling, responding to customer queries and handling billing and payments.

Key Responsibilities:
  • Reception and Client Interaction: Greet and assist clients, families, and visitors with professionalism and empathy, ensuring they feel welcomed and well-supported.
  • Customer Queries: Address inquiries through phone, email, and in-person communication with promptness and courtesy.
  • Billing and Invoicing: Prepare and issue invoices, process payments, and maintain accurate financial records.
  • Payment Follow-Up: Maintain oversight of outstanding payments, sending reminders and following up professionally to ensure timely collection.
  • General Administrative Tasks: Keep records up to date, maintain internal systems, and support the broader administrative needs of the clinic.
Key Requirements:
  • Previous experience in a receptionist, administrative, or customer service role (experience in healthcare/therapy settings is an advantage).
  • Strong organizational and multitasking abilities, with attention to detail.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Excellent communication and interpersonal skills.
  • Good command of English (written and spoken); fluency in Mandarin is a bonus.
  • Proactive approach to problem-solving and a high degree of accountability.
