A leading utilities firm in Singapore is seeking an experienced administrative support professional to assist the Legal, Compliance, and Corporate Secretarial teams. The role involves handling daily administrative tasks and organizing department activities. Candidates should have at least 3 to 4 years of experience in administrative management and proficiency in MS Office. This is a contract position with potential extension.

Job description

Leading Utilities Group company

Duration: 6 + 6 months, subject to extension/convertibility

Working Location: Kallang Sector

Working hours: 08.30am – 6.00pm (Monday to Friday)

Job Duties
  • Provide all required day-to-day administrative and logistical support for the efficient operation of the Legal, Compliance, and Corporate Secretarial teams, including but not limited to:

    • Allocating requests for legal assistance to relevant lawyers and opening new files;

    • Invoice processing and approvals;

    • Assist with planning, food and beverage arrangements, and all logistics for Board and Committee meetings and the Department;

    • Request Land Title Searches;

    • Prepare and update reports for the Chief Legal Officer;

    • Provide full administrative support (printing, typing, filing, arranging meetings) for lawyers, compliance, and secretarial team members, including onboarding and offboarding of staff.

  • Plan and organize Department activities.

  • Perform any other responsibilities as assigned.

Requirements
  • At least 3 to 4 years of experience in general administrative management

  • Ability to multitask, prioritize, and execute in a fast-paced environment

  • A team player with initiative

  • Proficient in MS Office, including Word, Excel, and PowerPoint
