The Corporate Affairs Executive is responsible for drafting, reviewing, and publishing internal and external news, as well as managing news approvals and quality control for subordinate business units. The role involves building and maintaining strong relationships with government authorities, chambers of commerce, and industry associations. Key duties include managing high-level foreign affairs receptions, tracking government policies, collecting PR intelligence, and drafting executive speeches. Additionally, the role provides administrative support to ensure smooth department operations.
Key Responsibilities
1. News Editing, Review, and Content Drafting
- News Writing & Approval: Draft internal and external news regarding major projects, core businesses, and corporate culture. Ensure all internal and external news strictly follows the company approval process. Review, approve, and assist in refining news submissions from subordinate business units to guarantee content compliance before media release.
- Speechwriting: Draft accurate, precise, and audience-appropriate speeches, remarks, greetings, and presentation reports in both English and Chinese for senior executives and department heads attending conferences, forums, association events, and government-enterprise meetings.
- Comprehensive Materials: Draft PR monthly/annual reports, project summaries, and cooperate with the department head to prepare comprehensive government reporting materials.
2. Government & Association Relations and Event Organization
- External Relationship Management: Serve as the company's liaison window. Establish and maintain stable, long-term relationships with government departments at all levels, major chambers of commerce, industry associations, and organizations.
- Event Coordination: Plan, prepare, design materials for, and execute daily salons, government-enterprise networking events, and association annual meetings.
- Resource Attraction: Assist the company in actively participating in key government and association summits, award selections, and proposals to secure industry influence and corporate awards.
3. Foreign Affairs Reception and Business Visit Coordination
- Pre-approval Support: Prepare and write all necessary documentation, application forms, project proposals, and background briefs required for foreign affairs receptions or overseas business travel approvals.
- Reception Planning: Design tailored reception plans for visiting government officials, key clients, industry experts, and association guests, covering detailed itineraries and core reception logistics.
- Onsite Execution and Coordination: Guide and accompany guests during foreign affairs receptions, ensuring the entire process complies with high-standard international business and government protocol.
- Visit & Reception Reports: Gather feedback after events, draft foreign travel/reception reports, outcome summaries, and minutes, and ensure proper archiving for future reference.
4. Policy Interpretation and PR Intelligence Research
- Policy Interpretation: Closely monitor industrial policies, industry regulations, and macro-economic trends across Singapore, China and key APAC markets. Perform deep analysis on compliance requirements and potential opportunities, and draft concise summary reports.
- PR Intelligence Gathering: Research and monitor main competitors' activities regarding media communication, association partnerships, and large-scale PR events to support the company's PR strategies.
- Core Data Sourcing: Conduct targeted research to gather accurate, authoritative industry data and case studies for executive speeches and government reports.
5. General Administrative Support
- Document Management: Manage PR contracts, archive supplier profiles, and handle the circulation of internal and external official letters and notices.
- Daily Administration: Assist the department head with schedule coordination, cross-departmental meeting organization, meeting minutes preparation, and other ad-hoc administrative tasks (reimbursement handling excluded).
Position Requirements
1. Education:
- Bachelor’s degree or above, preferably in Journalism, Communications, Public Administration, Administrative Management, Law, Business, or related fields.
2. Experience:
- 1–3 years of experience in public relations, government relations (GR) assistance, executive assistant roles, high-standard business/government reception, or large-scale association operations.
3. Language Skills (Core Requirement):
- Native or near-native fluency in Mandarin Chinese and professional proficiency in English (both written and spoken).
- Able to use both languages seamlessly as working languages for business communication, document drafting, and hosting/accompanying international guests.
Core Skills
- Proficient in drafting news releases, formal government materials, executive speech scripts, and project proposals. Possess strong news sensitivity and editorial skills to guide and proofread articles from business units.
2. Information Retrieval & Analysis:
- Strong policy acumen. Capable of searching public reports and government websites to extract valuable data and insights for PR and external relations.
3. Office Software Proficiency:
- Highly skilled in Word, Excel, and PowerPoint, with strong capabilities in document formatting and visual presentation design.
