Job description

Responsibility:

  • Perform general secretarial duties including managing correspondence, filing, and maintaining office records
  • Provide administrative support to the management, including but not limited to managing appointments/agendas/travel arrangements, processing expense claims, etc.
  • Coordinate travel arrangements including ticketing and reservations for flights, accommodation, and transport
  • Organise meetings and record minutes of meetings, including supporting meetings for the senior management
  • Compile monthly/quarterly reports for management review
  • Maintain efficient records and archive all documents under the department's responsibility, such as agreements, contracts, etc.
  • Work collaboratively with a team of staff (customer service officers and dispatch staff) to complete various day-to-day administrative duties, including covering the reception in the absence of customer service officers
  • Support the processing of petty cash claims, office inventory, and supplies such as corporate uniforms, stationery, etc.
  • Maintain the corporate pantry and assist with refreshments for Council or visitors when required
  • Support supervisor and management in various projects and ad-hoc duties as assigned

Requirements:

  • Bachelor’s degree in any discipline
  • Minimum 2 years of relevant work experience in administrative functions
  • A team player with the ability to take initiative and support team coordination
  • Proficient in MS Office
  • Strong communication, organisational, and interpersonal skills
  • Good command of both spoken and written English
  • Professional and customer-oriented demeanor
  • Ability to manage multiple tasks in a fast-paced environment
