Job summary

Qualifications

Responsibility:
- Perform general secretarial duties including managing correspondence, filing, and maintaining office records
- Provide administrative support to the management, including but not limited to managing appointments/agendas/travel arrangements, processing expense claims, etc.
- Coordinate travel arrangements including ticketing and reservations for flights, accommodation, and transport
- Organise meetings and record minutes of meetings, including supporting meetings for the senior management
- Compile monthly/quarterly reports for management review
- Maintain efficient records and archive all documents under the department's responsibility, such as agreements, contracts, etc.
- Work collaboratively with a team of staff (customer service officers and dispatch staff) to complete various day-to-day administrative duties, including covering the reception in the absence of customer service officers
- Support the processing of petty cash claims, office inventory, and supplies such as corporate uniforms, stationery, etc.
- Maintain the corporate pantry and assist with refreshments for Council or visitors when required
- Support supervisor and management in various projects and ad-hoc duties as assigned
Requirements:
- Bachelor’s degree in any discipline
- Minimum 2 years of relevant work experience in administrative functions
- A team player with the ability to take initiative and support team coordination
- Proficient in MS Office
- Strong communication, organisational, and interpersonal skills
- Good command of both spoken and written English
- Professional and customer-oriented demeanor
