About the Team: Our Finance Shared Service Center team provides global financial sharing services for the group, aiming to strengthen group management and control, optimizing business processes, reduce financial costs and improve management efficiency. The FSSC Contract Management Specialist will be the main point of contact for Group Overseas Contract Management. This position requires expertise in contract operations, compliance, and collaboration with internal teams.
Key responsibilities include, but are not limited to:
1. Contract Execution and Oversight:
- Execute contract sealing, archiving, and voiding in the system in compliance with internal policies and procedures.
- Review contracts to verify that key contractual details align with system records and internal controls.
- Ensure accurate and high-quality recording and maintenance of contracts and supporting documents in the system.
- Handle the physical contract sealing and archiving in accordance with standard operating procedures.
2. Stakeholder Collaboration and Compliance:
- Work closely with Sales Operations, Legal, and other relevant teams to address legal, financial, and business matters discovered during contract reviews.
- Serve as the liaison between the contract management function and other departments to ensure clear communication and efficient resolution of contract-related issues.
3. Document Management and Archiving:
- Manage the physical contract archive in the Singapore office, ensuring documents are properly stored, organized, and easily accessible.
- Maintain an efficient filing system to facilitate quick retrieval of documents as needed.
4. SLA Monitoring and Reporting:
- Monitor and track SLA performance to ensure compliance with company standards for operational efficiency.
- Prepare reports and analysis of contract management activities, highlighting trends, issues, and opportunities for improvement.
5. Process Optimization and System Enhancements:
- Identify areas for process improvement and provide feedback on potential system or workflow enhancements.
- Actively contribute to system and process enhancement projects, collaborating with cross-functional teams to implement best practices.
6. Additional Responsibilities:
- Support the team lead with special projects, initiatives, and other tasks as assigned.
Qualifications
Minimum Qualifications:
- Bachelor’s degree or above in Business Administration, Finance, Law, or a related field.
- At least 2 years of working experience in contract management, legal operations, or a similar role within a corporate setting.
- Solid knowledge of the contract lifecycle, compliance requirements, and risk management.
- Strong attention to detail, excellent analytical abilities, and the capacity to thrive in a fast-paced environment.
- Exceptional communication and stakeholder management skills, with the ability to collaborate effectively across diverse teams and regions.
Preferred Qualifications:
- Experience in process improvement and system optimization is a plus.
- Lean Six Sigma certification is preferred.
- Proficiency in contract management systems and document control tools (e.g., Agiloft, DocuSign, Concord, or similar CMS platforms) is highly preferred.
