Job description

Job Responsibilities:

Manages CRE Helpdesk

  • Support helpdesk enquires and feedback.
    Response to CRE helpdesk email and liaise with CRE team and handyman on the break fix.
  • Close ticket with fault reporting requestor, CRE team and handyman.

Maintenance of Water dispenser

  • Oversee the regular maintenance and servicing of office water dispensers.
  • Coordinate with water dispensers service provider for new installation or removal of water dispensers.
  • Coordinate with water dispensers service provider for fault reporting, filter changes, repairs, or regular maintenance.
  • Manage water dispensers renewal and ensure all renewal are done.
  • Seek business units and Head of CRE approval for contract renewal.
  • Liaise with vendors for renewal terms and invoices.
  • Maintain proper records of water dispenser.

Periodical Subscriptions renewal

  • Manage newspaper subscriptions renewal and ensure all renewal are done before expiry dates.
  • Liaise with vendors for renewal terms and invoices.
  • Maintain proper records for all active subscriptions.
  • Liaise with vendors on all delivery matters ie change of address, failed delivery, late delivery, etc.

Event Management

  • Coordinate all booking requests for event spaces including auditorium.
  • Coordinate logistics with requestor and IT AV team including venue setup, catering, security clearance, cleaning, etc.
  • Inspection and discussion with BUs for Pre/Post event setup/tear down matters.


Invoice Processing

  • Handle accurate and timely processing of vendors invoices through financial system, ensuring compliance with procurement guidelines.
  • Match invoices to purchase order and delivery orders.
  • Coordinate with CRE Team, Procurement Team and vendors for any invoice discrepancies.
  • Monitor the invoice approval workflow to ensure timely payment.

Salary:

  • Up to $4,500

Period:

  • 8 Months Contract

Working Hours:

  • Monday to Friday, 9am to 6pm

Location:

  • Raffles Place

Requirements:

  • Minimum Degree holder with relevant experience
