Job description

Position Summary

This position reports to the Regional Sales Manager in performing overall sales administrative duties.

Job Descriptions:

  1. Maintain and update regional sales pipeline and customer information via CRM/database.
  2. Prepare and update routine and ad hoc sales reports, forecast reports, budgets, business plans, and presentations.
  3. Assist with the creation and distribution of sales and marketing collaterals, such as company/product catalogues, flyers, and email campaigns.
  4. Responsible for CPQ management from quotation, order, loading to shipment.
  5. Assist with sales and marketing events and materials, such as scheduling meetings, managing event calendars, trade shows, trainings, seminars, conferences, and corporate gifts.
  6. Support research & data analysis on sales, products, competitors, industry trends, and potential markets.
  7. Answer and streamline phone calls and email inquiries.
  8. Liaise with customers and prospects to schedule appointments and follow up on inquiries.
  9. Create and maintain the Commercial team’s SharePoint/Share folder with the latest information and access control.
  10. Provide on-time and accurate sales details and forecast data for monthly, quarterly, and yearly sales reporting for HQs and consolidate all reports for the Commercial Financial team on a regular basis.
  11. Work closely with other functional groups, including Sales & Marketing, Finance, Services, IT, and HR & Admin to ensure the accomplishment of tasks assigned.
  12. Undertake other ad-hoc duties as assigned by management.

Job Requirements:

  1. Diploma/Degree in Business Administration/Management, Marketing, or related discipline.
  2. Minimum 5 years of relevant sales/marketing admin experience in a similar capacity preferred.
  3. Proficient in Microsoft Office (Excel, PowerPoint & Pivot Table).
  4. Ability to deal with shipping coordination is highly recommended.
  5. Possess a “can do” attitude and able to communicate effectively with various stakeholders.
  6. Agile with a growth mindset and a fast learner with strong business sense.
  7. Ability to operate at a high degree of flexibility and multitask.
  8. Advanced language proficiency in both English and Japanese (written and spoken) is required due to frequent detailed communication with Japanese stakeholders.
  9. Occasional travel (<20%) may be required.
