Works Closely With: General Manager, Head of Medical & Lifestyle Medicine, Allied Health Professionals, Team of Doctors & Nurses, Medical Services Team, Partnerships Manager

Role Summary

We are seeking a highly capable and proactive Operations Manager to lead and oversee the full spectrum of clinical and program operations within our 38,000 sq ft integrated medical sanctuary. As a core leader in our clinic operations team, the Operations Manager plays a mission-critical role in shaping and executing the operational strategy of our 38,000 sq ft integrated medical sanctuary. This role holds end-to-end responsibility for overseeing clinic floor operations, driving cross-departmental synergy, and ensuring the seamless delivery of both daily medical services and strategic health programs.

The ideal candidate is a proactive, solutions-oriented leader who thrives in a fast-paced, multidisciplinary environment and brings a strong track record in operational leadership within healthcare settings. You will work closely with senior leadership to turn vision into action, while building high-performing teams and continuously elevating service standards in alignment with our core values of preventive, lifestyle-based, and patient-centric care.

Responsibilities
  • Operational Leadership: shape service delivery models and implement operational frameworks that drive excellence, innovation, and scalability; champion clinical governance, quality assurance, and continuous improvement across operational domains.
  • Cross-Functional Collaboration & Program Execution: connect clinical, hospitality, wellness, and facility teams to ensure cohesive, integrated service delivery; oversee the operational lifecycle of Shared Medical Appointments (SMA) and Shared Medical Group (SMG) with the Clinic Operations Executive; coordinate facilitators (physicians, dietitians, clinical psychologists, counsellors, health coaches, etc.) for smooth execution.
  • Program Implementation: lead the rollout of key programs, pilots, and cross-centre initiatives aligned with clinical objectives and timelines.
  • Excellence in Clinic Operations: manage daily operations to ensure patient flow, optimal resourcing, and a premium patient experience; ensure compliance with clinical SOPs, safety protocols, and MOH regulations; leverage CMS/EMR systems for workflow optimization and data-driven decisions.
  • Service Experience & Patient Engagement: set the tone for an empathetic, attentive service culture; oversee the full patient journey across touchpoints and SMA/SMG programs; act as escalation point for service recovery and opportunities to enhance satisfaction and loyalty; ensure clear communication regarding SMA participation, expectations, and follow-up.
  • Governance, Compliance & Data Stewardship: ensure operations comply with internal SOPs, MOH regulations, and statutory requirements; lead PDPA compliance for patient data handling and confidentiality; conduct internal audits and governance reviews to strengthen clinical integrity and risk mitigation.
  • Inventory, Procurement & Facility Leadership: manage inventory and accountability for medical supplies, medications, and consumables; oversee procurement workflows and vendor relationships; collaborate on capital expenditures and facility upgrades; coordinate maintenance and infrastructure improvements.
  • Team Leadership & Talent Development: lead, mentor, and inspire ground operations and service teams; conduct daily briefings and align on operational goals; address performance challenges and manage escalations with HR and senior leadership; champion staff wellbeing and engagement.
  • Performance Monitoring & Continuous Improvement: track KPIs (e.g., SMA/SMG attendance, patient engagement, feedback scores, documentation compliance); translate operational data into actionable insights; drive innovation and pilot process improvements with measurable outcomes; lead post-program reviews and apply learnings to planning.
  • Insurance Partnerships & Claims Management: develop and expand strategic relationships with insurance providers; work with Partnerships Manager to identify and onboard new partners; oversee end-to-end IDB claims management with authorised insurers; verify coverage, manage deductions and eligibility; monitor claim submissions and liaise with insurers to resolve discrepancies and recover revenue; ensure alignment with SOPs and insurer requirements.
Qualifications
  • Bachelor's degree in Healthcare Administration, Business Management, or related field
  • Minimum 6 to 8 years of progressive experience in healthcare operations, with at least 4 years in a leadership or managerial capacity
  • Visionary operator with a proven ability to lead high-performing teams and scale healthcare services
  • Deep understanding of healthcare workflows, operational best practices, and regulatory frameworks
  • Strong communication, conflict resolution, and stakeholder management skills
  • Data-savvy with the ability to translate metrics into strategy
  • Calm under pressure, highly adaptable, and willing to lead from the front
  • Problem-solving mindset with proactive issue anticipation
  • Willingness to learn and adapt to ongoing education in lifestyle medicine, personalised medicine, and innovation
  • Passion and interest for preventive healthcare, lifestyle medicine, and longevity medicine are highly desirable
