Reporting to the General Manager, you will be highly involved in managing all aspects of the day-to-day clinic operations, including staff rostering, locum doctor sourcing, and driving clinic initiatives. You will lead and manage people, programmes, and initiatives and support senior management in delivering business objectives and service standards.
Key Responsibilities:
- Led a team of Clinic Nurses/Assistants to ensure consistency efficiency and operation readiness
- Manage monthly rosters for clinic staff and Doctors including sourcing for locums. Ensure the clinic roster is sufficiently staffed with manpower daily due to unplanned leave.
- Ensure clinics are smooth-running, and provide excellent service for our patients through leadership by example.
- Keep abreast of MOH regulation requirements and ensure new policies integrate with clinic practices and workflow.
- Conducted work group meetings and meeting minutes, and ensures compliance with clinic standards, consistency of protocols, and adherence to standards and service quality.
- Coordinate with HR Accounts, and other internal departments to optimize processes
- Assist in implementing MOH's new initiatives and partner programmes
- Manage employee relationships, conducts on-the-job training, handle employee performance appraisals, engagement and counselling, coaching and grievance management.
- Manage patient’s record and clinic management system including clean-up for duplicate codes, standardise procedures/services code and pricing
- Ensure clinics' monthly revenue is healthy and kept within allocated budgets.
- Perform billing and adjustments in clinic systems and insurance portals
- Manage patient records and clinic supplies inventory, perform inventory check in compliance with the respective regulations and guidelines
- Respond to queries and provide timely feedback from the team, addressing and resolving issues where possible, and escalating unresolved matters professionally.
- Stand-in to counter duties when staff is on emergency leave.
- Any other duties assigned by the Manager.
Requirements
- Able to work staggered hours including 1 night shift /1 weekend/PH
- Diploma in relevant disciplines with a minimum 2 years of GP clinic operation experience.
- Able to multi-task and work under pressure with multiple priorities.
- Strong in directed self-driven work and able to work as a team player.
- Proven ability to lead a team responsibly, work flexibly and accurately with changing priorities and deliver confidential and high-quality customer-focused service.
Advanced knowledge in relevant Government and insurance schemes and subsidies. (HSG, SFL and Medisave guidelines) - Familiar with operating Clinic Management System.
