Job description

Skillset Requirement

  1. Familiar with Clinic CMS (ideally Plato) and processes: A CA must be proficient in using clinic CMS system and thoroughly understand the clinic’s processes to ensure efficient operations.
  2. Strong organisational skills: A CA should be capable of managing multiple tasks simultaneously, keeping the clinic orderly, and ensuring nothing is overlooked.
  3. Effective communication abilities: A CA needs to communicate clearly with both patients and staff, ensuring that everyone is informed and processes run smoothly.
  4. Problem-solving skills: A CA must have the ability to quickly and effectively address any issues that arise, minimising disruptions, as per SOP and to raise up to supervisors if needed.
  5. Resourcefulness: The operator should be adept at finding solutions and using available resources to overcome challenges
  6. Composure under pressure: A CA must be able to remain calm and perform effectively in a fast-paced or stressful environment, maintaining high standards even during busy times.
  7. Speak up: Have the courage to uphold the duty of speaking up regarding interpersonal conflicts or inefficiencies in work processes.
  8. Has the attention to detail to track medication and consumable usage, handle expiry checks, and follow SOPs for reordering stock.
  9. Can juggle patient-facing duties, admin tasks, and back-end support such as maintaining medication cabinets, restocking consultation rooms, and coordinating with vendors.
  10. Adaptable, hands-on, and committed to keeping the clinic clean, organised, and well-stocked at all times.

You should understand the following:

1. Knows the importance of accuracy in appointment handling, billing, Platousage, medication dispensing, radiology prep, and now clinic stock control which breaks down to the following daily operations:

  • Registration of patients into plato system accurately
    • Verifying TPA
    • Claiming TPA/CHAS/Medisave
    • Able to fill in referral/order forms correctly
    • Prepares blood tube correctly
    • Ensure labs are informed for pick up
    • Understands the daily operations of a dynamic medical clinic that includes radiology, medication dispensary, and preventive care services.
    • Understands that well-managed inventory supports smooth clinic function and patient safety, and that keeping the clinic stocked is as important as keeping it running.

2. Assigned tasks need to be completed promptly

3. Shared responsibility over clinic stock and maintenance

4. Be vigilant in identifying process/workflow gaps to be flagged up as issues, and be participative in helping to come up with viable solutions.

5. Gets how their actions—from welcoming patients to managing inventory—impact both patient care and clinic efficiency.
