Position Overview:

The Front Desk & Office Administrator will be responsible for creating a positive first impression for visitors, managing daily office operations, and supporting the smooth running of the workplace. This role requires a professional, organized, and service-oriented individual with strong attention to detail.

Key Responsibilities

Client Reception & Hospitality

  • Welcome and host clients, investors, and VIP guests with warmth, discretion, and professionalism.
  • Arrange refreshments, meeting room setup, and any special requirements for client visits.
  • Provide local concierge assistance (restaurant bookings, transport arrangements, lifestyle requests) for visiting clients.

Client Engagement & Events

  • Coordinate and assist in organising client events, private dinners, investment briefings, and networking functions.
  • Liaise with venues, caterers, and service providers to ensure smooth execution of events.
  • Prepare guest lists, invitations, and event materials in collaboration with the client relationship team.
  • Coordinate logistics for client meetings, including timing, location, and materials.

Front Desk & Guest Experience

  • Manage incoming calls, emails, and inquiries in a professional manner.
  • Maintain a welcoming and pristine reception area.
  • Handle deliveries, couriers, and visitor registration.
  • Relationship Support
  • Work closely with Relationship Managers to anticipate client needs and preferences.
  • Ensure confidentiality and a personalised touch in all interactions.
