Position Overview:
The Front Desk & Office Administrator will be responsible for creating a positive first impression for visitors, managing daily office operations, and supporting the smooth running of the workplace. This role requires a professional, organized, and service-oriented individual with strong attention to detail.
Key Responsibilities
Client Reception & Hospitality
- Welcome and host clients, investors, and VIP guests with warmth, discretion, and professionalism.
- Arrange refreshments, meeting room setup, and any special requirements for client visits.
- Provide local concierge assistance (restaurant bookings, transport arrangements, lifestyle requests) for visiting clients.
Client Engagement & Events
- Coordinate and assist in organising client events, private dinners, investment briefings, and networking functions.
- Liaise with venues, caterers, and service providers to ensure smooth execution of events.
- Prepare guest lists, invitations, and event materials in collaboration with the client relationship team.
- Coordinate logistics for client meetings, including timing, location, and materials.
Front Desk & Guest Experience
- Manage incoming calls, emails, and inquiries in a professional manner.
- Maintain a welcoming and pristine reception area.
- Handle deliveries, couriers, and visitor registration.
- Work closely with Relationship Managers to anticipate client needs and preferences.
- Ensure confidentiality and a personalised touch in all interactions.
Qualifications & Requirements
- Minimum Diploma or relevant administrative experience.
- Strong communication skills and a friendly, approachable manner.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Highly organized with good time management skills.
- Able to handle multiple tasks and work independently.
