Job description

We are seeking a proactive and highly organized Chief Administration Officer (CAO) to lead and oversee all administrative functions across the group, including subsidiary offices. The CAO will play a key role in supporting the CEO in strategic and operational matters, while ensuring the smooth and efficient running of corporate administration, office operations, and cross-functional support.

Job Descriptions:

  • Act as a key advisor and administrative partner to the CEO, supporting on day-to-day priorities and follow-through.
  • Coordinate strategic initiatives, track progress, and ensure timely execution across functions.
  • Prepare presentations, briefings, and documentation for leadership meetings and external engagements.
  • Oversee the daily operations and facility management of the headquarters and all subsidiary office locations.
  • Manage office leases, fit-outs, vendor contracts, and general upkeep to ensure a productive and compliant work environment.
  • Lead initiatives to improve workplace efficiency, employee experience, and sustainability.
  • Develop and implement policies and processes for general administration, document control, travel, procurement, and expense management.
  • Manage company-wide administrative budgets and resources effectively.
  • Ensure compliance with regulatory and operational requirements in all administrative functions.
  • Provide guidance and oversight on administrative matters for all subsidiary offices.
  • Coordinate with local office managers or representatives to ensure consistent standards and alignment with group policies.
  • Support setup or expansion of new office locations as needed.

Job Specification:

  • Master’s degree in Business Administration, Management, or a related field.
  • Minimum 10 years of relevant experience in office management, corporate administration, or executive support, including experience in managing teams and supporting senior leadership.
  • Strong understanding of office operations across multiple jurisdictions.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to multitask, prioritize effectively, and handle confidential matters with discretion.
  • Proven ability to work with senior executives and cross-functional teams.
  • Effective billingual to communicate with Chinese and English speaking stake holders.
